Job summary

The Maternity Mental Health Service (MMHS) is a small, specialist team that works to integrate psychological support into maternity services across Hampshire and the Isle of Wight. Our staff offer training, supervision and consultation for maternity colleagues, alongside supporting relevant service improvement initiatives. We also offer psychological assessment and evidence-based psychological therapies for people experiencing psychological distress associated with severe fear of childbirth (tokophobia), pregnancy after perinatal loss and birth trauma. We are a community-based service, working Monday to Friday, 9:00am -- 5:00pm. We are not a crisis or emergency service. The post holder will provide a comprehensive secretarial and administrative service to the staff that make up the Maternity Mental Health Service.

Hours/Days:9:00am - 5:00pm over three days, to include a Friday.

Main duties of the job

General

*To receive incoming telephone calls to the department and take messages for the team, taking action where appropriate, including making calls to outside agencies*To receive all incoming and outgoing mail to include taking action where appropriate.*To ensure that all typing and administrative duties are completed promptly and to a high standard.*To type all correspondence using both copy typing and sometimes audio, including forms, assessments, GP letters, and reports as generated by the team.*To set up office systems and procedures to ensure that all documents can be retrieved easily.*To collate Health Records and register new referrals on to the relevant IT systems.*To book appointments on to the relevant IT systems.*To input data on to the relevant systems and take responsibility for the quality of the data, reporting to data custodian any arising issues around quality.*To organise meetings and support diary management for the team.*To carry out photocopying and filing as required.*To undertake any additional projects for the Administration Business Manager, Service Lead or Senior Administrator as required.*Attend and contribute to Admin Meetings and other meetings as necessary and appropriate.*Maintain realistic workload, keeping the Administration Business Manager informed of any shift in workload weighting so that this can be dealt with promptly.
