Job summary

We are seeking to appoint a full time band 3, Administrator to join the Clinical Admin Team at Fareham Community Hospital, Sarisbury Green, SO31 7DQ.

A good level of general education is required to include qualifications in Maths and English at GCSE grade C or equivalent and ideally a L2 diploma in Business and Administration. Computer skills and experience of using a database is essential. Excellent communication and customer service skills along with a good telephone manner are necessary.

As part of this demanding role, we shall expect you to deliver a high standard of administration skills providing support to the Specialist Continence Team, also to support the Falls Prevention and Posture Management Teams. Duties will include sifting and processing a high volume of incoming referrals, booking clinic appointments, following service guidelines and standards, dealing with telephone queries, using Rio (the Trust's electronic information system) and other data base systems, communicating with service users and healthcare professionals.

As a team player, you will be able to prioritise your work to meet deadlines and the demands of the service and have a customer-focused approach, understanding of the issues of confidentiality with the ability to empathise with service users and deal with them in a tactful and diplomatic way. Full training will be provided.

You may need to travel across the Trust, therefore, a car driver and access to a car is essential for this post.

Main duties of the job

To plan, organise, and manage own workload, in line with policies and procedures, occasionally working alone and acting independently or as part of a team.

Taking, sifting and processing referral requests for new patients, identifying and prioritising accordingly.

Booking/amending patient appointments . Maintaining clinician's Rio diaries.

To reschedule workload of team members at short notice due to sickness or absence.

Answering telephone queries, taking messages, prioritising, and acting upon as necessary; ensuring information is passed on in a timely, accurate and professional manner.

Provide and receive sensitive information requiring tact and persuasive skills; often overcoming cultural or language difficulties and/or anxious and distressed service users.

Use and accurately populate the electronic record system (Open RIO) with information.

Work positively with colleagues, service users and other health professionals to maintain effective relationships, ensuring confidentiality polices are adhered to.

To regularly attend team meetings as required. These may be at other HIOW sites.

Providing comprehensive administrative support, taking on extra tasks when necessary due to staff absence.

Liaising with all services, internal and external to the Trust as well as patients' relatives whilst maintaining confidentiality.

To work alongside the Hub Admin Team, supporting, when necessary, to ensure the continued streamlined service.
