Administration Support Officer - Apprentice

Job summary

We are recruiting for an Admin Support Officer to join our Transformation Delivery Unit.

Your role will be to work with the Transformation Delivery Unit (TDU) to provide efficient, proactive administrative support to the TDU, assisting in the day-to-day operational work of the team.

At the commencement of the apprenticeship, you must have Maths and English GCSE Grade C/Level 4 or above or Functional Skills for both at level 2.

Attending college or going online and completing all the standards set out in the apprenticeship are the apprenticeship criteria.

You will be awarded a Level 3 Business and Administration Apprenticeship upon completion.

You will be employed on a fixed-term contract for your apprenticeship.

You will be paid Band 2 whilst on your apprenticeship.

On completion of your apprenticeship, you will need to partake in the recruitment process within Hampshire and Isle of Wight Healthcare to secure a position as a Band 3.

Main duties of the job

* To provide administrative support for the Transformation Teams.

* Maintain good partnership working with internal and external colleagues.

* To observe confidentiality of all information, adhering to the legal requirements of the Data Protection Act and Trust information sharing

policies.

* Participate in and support the administration of staff meetings, including scheduling meetings, preparing and distributing agendas/papers, taking and producing notes and circulating as appropriate.

* Be motivated to work together and share ideas/good practice with others in a variety of team settings.

* Manage specific tasks and elements of projects under the supervision of the Business Manager, and other members of the team.

* Governance support.

* To communicate effectively ensuring messages and information are relayed accurately and timely to team members.

* Support the effective running of administrative functions including, but not limited to, annual leave management, absence management and appraisal reporting.

* Coordinate and prepare correspondence, reports and any other associated documents ensuring they are produced in an accurate and timely manner.

* Maintain databases to ensure efficient working.

* Be aware of and ensure the requirements of all Trust policies, protocols and standing financial instructions are observed at all times, for example recruitment procedures.
