Job summary

To work as part of the Older Persons Mental Health administration team and liaise with users of the service, carers and other voluntary and non statutory agencies. To provide administration and clerical support within a mental health environment. Monitor and maintain departmental quality standards within the scope of the job description. Ensure a friendly and professional ethos within the team/department for patients and staff.

Main duties of the job

Receiving referrals, ensuring they are passed onto the appropriate clinician for triage and maintaining a database of all new accepted referrals. Inputting referrals onto Rio our primary electronic database, checking for all demographics and upload of any relevant documents. Contacting Service Users, arranging appointments, and sending out any follow up appointment letters as and when necessary. To provide secretarial support to members of the OPMH Team including doctors, social workers and nurses to include taking messages and passing onto the appropriate team members in an efficient and professional manner. Ensuring all messages are accurate and recorded appropriately and seeking advice where necessary, respecting patient confidentiality at all time. To type assessment summaries, reports, documents and other letters ensuring confidentiality of patient records is maintained according to the data protection and Caldicott Guardianship guidelines. To support the Admin Team Leader to ensure that at all times sufficient cover is available to carry out the duties of the team. To perform any ad hoc duties as and when required, this can include assisting with covering reception. Attending meetings and taking minutes and distributing them in a timely manner which are all consistent with the nature of the post in consultation with the Admin Team Leader. Using the Logit system as appropriate for IT issues and queries. Assisting other administration teams across the Trust as and when required.

  • RSA II or equivalent.
