Job summary
The Perinatal Mental Health Service provides a specialist service for the assessment and treatment of women and birthing people with severe mental health problems in pregnancy and postnatally. The post holder will provide a comprehensive secretarial and administrative service to the medics that make up the Perinatal Mental Health Service.
The post holder will be responsible for the organisation of their own workload and delegated decisions/actions, as deemed appropriate by the Administration Business Manager, Service Manager and Clinical Lead. The needs of the service user will be the utmost priority. The principle of high-quality customer care is at the heart of this role.
Main duties of the job
General
- To receive incoming telephone calls to the department and take messages for the team, taking action where appropriate, including making calls to outside agencies
- To receive all incoming and outgoing mail to include taking action where appropriate.
- To ensure that all typing and administrative duties are completed promptly and to a high standard.
- To type all correspondence using both copy typing and sometimes audio, including forms, assessments, GP letters, and reports as generated by the team.
- To collate Health Records and register new referrals on to the relevant IT systems.
- To book appointments on to the relevant IT systems.
- To undertake any additional projects for the Administration Business Manager, Service Manager or Team Leaders as required.
Doctor/Medic Specific Tasks
- Assisting the two Medical Secretaries with the booking of appointments requested by clinicians in the inbox -- either via requests in the general admin inbox or through actions within MDT minutes as well as booking appointments from the two medic waiting lists.
- Understanding the type of appointments requested and determining the medium of the appointment (face to face/video/phone) and the length of the appointment.
- Organising where in Medic's diaries to book appointments.
- Cancelling appointments and finding new slots in the diary e.g. due to staff sickness or the patient being unable to attend.
