Job summary

The Community Mental Health Team (CMHT) are looking to recruit a Team Administrator to provide a comprehensive, timely and accurate secretarial support to the clinical staff based within the CMHT. Duties will include taking, transcribing and typing letters, arranging follow up actions as instructed, booking appointments, answering telephone calls, taking messages and liaising with other health care professionals.

Main duties of the job

To provide a comprehensive, timely and accurate secretarial support to the clinical staff based at the CMHT. Take, transcribe, and type letters, arrange follow up actions as instructed.

Monitoring our electronic referral system and email address

Answering phone calls and taking messages or forwarding onto the relevant party.

To carryout the administration of clinical letters on behalf of the clinical team, scan and upload documents, sending out appointment letters, liaising with patients or the carers to answer any queries they may have.

Type up assessments and carryout any administration required following the assessment. Coordination with other professionals, outside Agencies, legal staff, Trust staff etc and maintaining patient electronic records.

Coordinate and organise actions arising from the Multi disciplinary team meeting and the Business Meeting such as interpreters, support agencies and ensure prompt and efficient response, as required, by the clinical staff.

Administration of the Nurse Led Clinic, referrals to Talking Therapies, Physical Health Monitoring clinic, Outpatient Letters.

Organising meetings and taking Minutes as necessary, typing and distributing to those appropriate.

To update and record information onto the Trust electronic systems and databases as required within the Trust key targets times eg RiO, ICE, Ulysses, LogIt, Insight, etc.

  • IT experience in the user of computer software packages (Microsoft office)
