Main duties of the job

*Receive, assist and direct patients and visitors in accessing the appropriate service or area in a courteous, efficient and effective way.

*Operate the switchboard/central telephone, ensuring all calls are quickly and correctly directed to appropriate department.

*To be able to handle complaints and be aware of complaints procedure and know when to refer more complex or unresolved concerns to senior staff as appropriate.

*To order goods in accordance with the Trust's financial framework.

*To coordinate the distribution of parcels and mail via the porter service.

*Ensure daily post is collected and dispatched with CitySprint at the correct times.

*To help with the recording of information required for the monthly reports.

*Receive messages and take responsibility for the accurate recording and delivery of messages as appropriate.

*To co-ordinate the bookings of rooms as requested and ensure these are recorded electronically.

*Provide administrative support when required for Estates Services.

*Monitor deliveries into and out of the premises.

*Maintain waiting area ensuring that all information and resources are presentable and accurate.

*To be responsible for the efficient running of reception services in the absence of the reception supervisor.

*Participate in Trust induction and appraisals.
