Job summary

We have an opportunity for a six month secondment of a Personal Assistant for the provision of a comprehensive PA, secretarial and administrative service to the Associate Directors of MSK and LTC.
To support the Associate Directors for Community Specialist Services Division in all aspects of business management activity relating to functions and responsibilities.
Main duties of the job
- Provide a comprehensive and efficient support service to the Associate Director.
- Work autonomously without direct supervision and with the immediate oversight and control of their work.
- To support the co-ordination of the key areas of business for the Associate Directors by being proactive in ensuring relevant information is obtained, organised, collated and distributed in a timely manner.
- To manage the diaries for the Associate Directors.
- To exercise judgement and discretion in the day-to-day handling, monitoring and filtering of appointments, enquiries, protected admin.
- Time and clinical activities acting proactively where potential clashes/pressures are identified.
- Participate in ensuring the electronic diary is accurate and up to date at all times to include such information as, meetings.
- Take responsibility for the setting up and organisation of meetings including preparing agendas, distributing papers in advance of meetings, taking minutes and action logs as required, ensuring accurate and timely transcription and circulation.
- Proactively follow up progress and ensure actions are carried out.
- Plan and organise meetings, both internally and externally, development events including Away Days and any other special events as required by the Associate Directors.
- Include producing presentations and other resources as required.
- Accurate transcription of confidential correspondence; reports, forms, minutes and any other correspondence within agreed and acceptable timescales.
