Job summary
We are recruiting for an Administrator to join our team on the Isle of Wight.
You will be responsible for providing effective and efficient clerical and administrative support to teams of healthcare professionals, as part of an integrated admin service across the Cluster. The role will involve a high level of organisational skills and excellent working knowledge of administrative procedures and IT systems used within the Trust. The post holder could be the first point of contact for the services and therefore requires clear communication and liaison skills.
The successful candidate will manage and prioritise their own workload and will be required to use their own initiative.
You will work primarily in the Chronic Pain Admin Team but may work agilely as a member across the cluster integrated administrative team providing extensive secretarial and administrative support to the to the team and be responsible for the effective management and efficient working of non-clinical aspects of the Service in accordance with all Trust policies and procedures.
You will provide focus and support to the Cluster Lead on business objectives - performance, governance, workforce, service improvement, information management, business continuity, communications, finance, and risk.
This is a 9 month secondment/fixed term contract opportunity with flexible working hours during the week Monday to Friday between 8.00 and 17.00. We able to consider candidates who are looking for 20-24 hours per week.
Main duties of the job
To organise and assist with the day to day administrative duties within the cluster.
Act on behalf of the patient in enabling the Trust to be efficient and a provider of high-quality care.
Plan, negotiate and allocate incoming jobs to appropriate team members across the cluster.
Systematically review service data/registers and collect updates from appropriate service areas.
Ensure suitable communications systems are in place and actioned.
Answer incoming calls and help resolve any service enquiries.
Be responsible for assisting with the co-ordination of all aspects of clinical staffing across the Cluster on a day-to-day basis.
Provide support with appropriate service or Cluster improvement projects through stages of designing, planning, and implementation.
Establish systems and processes to report and monitor performance for key targets (local and national) and operational objectives. Contribute in finding solutions to problems where performance is not achieved with the support of clinical/operational colleagues/corporate support services.
Support on the collection, collation, analysis and interpretation of complex performance data and audit projects as requested.
Support budgetary preparation and reporting processes, contribute to the identification and achievement of schemes for CIP (Cost Improvement Programme). Understand and support the divisional capital position to make the best use of funding streams available.
