Your role will include reception cover (mainly afternoons 12:30 to 17:00), answering telephone calls, responding to emails, maintaining accurate records, scheduling meetings and appointments, and ensuring the smooth day-to-day running of the departments. Strong communication, IT skills, and attention to detail are essential.

Main duties of the job

Be in charge of opening/closing Reception, greet visitors, staff, contractors, singing in/out keys, fobs, alarms, answering phone calls and emails, distributing post.

Liaise with the Medical Team on discharge summaries, help with filing, sending paperwork to GP.

Provide support for Doctors- meetings, discharge summaries, various audits.

Help Admin Team with key tracking, keeping the records up to date and replacing keys, fobs, alarms if needed.

Liaise with the Kitchen Staff to place/amend kitchen orders.

Be in charge of raising orders for all teams at Melbury Lodge, request quotes, and liaising with the Buying Team.

Oversee all contractor call outs, liaise with the Site Manager.

To oversee archiving paperwork, retrieve archived paperwork if needed and keep all records up to date.

Oversee all reported jobs and escalate if needed, ensure that all raised jobs have allocated number.

To be able to organise new fobs, alarms, key sets.

To assist the Admin Manager in the process of Access to Records Requests.

To oversee the Stationery Cupboard stock and be in charge of the stationery cupboard orders.

To undertake general office duties as required by the Admin Manager.

Support the Admin Team in cross cover, ensuring adequate support is provided when needed.
