We are looking for a dedicated and organised Administrator to work as part of a skill mix team to provide comprehensive administrative support to the Education Health and Care Plan Team (EHCP) and to the wider children's therapy team. This is a full-time position, working from Monday-Friday either 8 am-4 pm or 9 am-5 pm. Working patterns will be discussed with the successful candidate.
The role requires a high level of interpersonal skills and personal confidence. You must have a respectful and empathetic attitude this is essential to the role, with the capacity to manage sensitive, and confidential information.
The main roles of the job are to receive and process communications from various Local Authorities promptly and adhere to strict deadlines. You will need to be able to plan and organise your workload and work independently most of the time as well as supporting the wider team. You will need to communicate effectively with clinicians and service managers across all Services within Child and Family and be able to highlight any delays with the EHCP process when necessary.
Main duties of the job
Your main duties and Key responsibilities will be to:
Effectively prioritise and manage own workload whilst maintaining confidentiality and diplomacy at all times, both independently and/or as part of a team.
Work in close liaison with the Paediatric Childrens Therapy clinical team and other relevant managers in Child and Family Services.
All duties to be carried out within the Trust's Information Governance, recording, and data sharing procedures and guidance.
Use and populate the electronic record system - System1 with accurate information regarding child health records on a daily basis, to include scanning and uploading information from other services in a timely manner.
Follow agreed processes for dealing with emails on Outlook and nhs.net, on a regular basis prioritising both urgency and importance, taking responsibility for signposting or dealing with queries regarding arising issues.
Proofreading and formatting clinical letters assessments, reports and letters. Paying close attention to detail, making corrections where necessary and highlighting queries, following service SOPs. This involves full focused attention for prolonged periods of time.
Process incoming and outgoing mail, telephone or written messages, distributing appropriately and in a timely manner.
