Job summary
We have an exciting opportunity to join our team as a Portfolio Co-ordinator.
The role will assist the Head of Service in the CAMHS/SEND portfolio across a broad range of supporting duties, as detailed in the attached job description.
The successful candidate will be pro-active, enthusiastic and able to adapt to the changing needs of the service. Strong organisational and communication skills are essential, along with IT skills and the ability to work to tight deadlines. They will need to be a resourceful and capable of delivering high quality support to a busy service during challenging times.
The portfolio provides a range of mental health support to children, adolescents and their families across Portsmouth and Southampton. This includes but is not limited to CAMHS, eating disorders, Paediatric Liaison in emergency departments, intensive treatment within the home, and ADHD and Autism assessments. The Portfolio Co-ordinator will work closely with Clinical Service Managers and the wider Senior Leadership Team, handling sensitive information. Confidentiality is a crucial element of this role.

This post is for 30 hours per week, to be worked across 4 or 5 days. The working pattern can be discussed at interview.
Main duties of the job
Proactively managing all aspects of meetings, event arrangement and diary management, ensuring that the Head of Service's time is used effectively.
Minute taking of portfolio meetings, collating and tracking actions to ensure they are executed within designated timescales.
Interrogating and collating monthly data and statistics, using Business Intelligence tools, for reporting purposes. Using appropriate computer software to develop or create reports, documents, diagrams and presentations, ensuring that documentation is of a high standard in line with corporate identified guidelines.
Drafting responses or papers or ensuring draft responses are in place and quality assured to meet the identified deadlines.
Ensuring the Head of Service is properly briefed and prepared for the work programme and meetings ahead.
Assisting in the preparation of internal and external reports and summarising reports where necessary.
Using considerable judgement and experience in dealing with queries on behalf of the Head of Service.
Being the first point of contact for all internal and external inquiries for the Head of Service.
Support Head of Service with recruitment activity and onboarding processes within the portfolio, including providing 1:1 support and line management of the Onboarding Administrator.
