Volunteer and Patient Experience Officer

Job summary

The post holder will be a member of the community engagement and experience team, whose purpose is to work with people and communities to improve health, reduce health inequalities and improve the experience of care. This role is an exciting role for some one who likes working with people. It is at the heart of our work with volunteers, recruiting and supporting them and liaising with services to ensure we have the right placements. The post holder will be the first point of contact for initial queries relating to Voluntary service and Patient Experience, responding, or referring on to colleagues as appropriate and in a timely manner.

Main duties of the job

The role will be:

To support the onboarding and recruitment of volunteers as required including supporting with any training needs.

To update the volunteer database on a daily basis.

To liaise with services in relation to volunteer placements.

To proactively advertise and champion volunteers and their activities (with the support of our communications team) through social media and other suitable platforms.

To support with data collection and the gathering of information for report writing.

To provide figures to senior management (in the absence of the V&PE Manager) for both the Voluntary service & Patient Experience.

Support the V&PE Manager on projects that will enhance the Patient Experience agenda (such as the Wellbeing project, mystery shopping and other related tasks).

Liaising with the services and complaints team and the service lines to help support with such projects.

ICT Duties

Use of the patient feedback system (Qualtrics) ensuring accurate information to include scanning and uploading information in a timely manner, including data cleansing and reporting as required.

Follow agreed processes for dealing with emails on Outlook, prioritising both urgency and importance, taking responsibility for signposting or dealing with queries regarding issues arising.

Photocopy, scan and file electronic copies of records/notes accurately as required.

Support the management of systems and databases used.

Input and retrieve statistical information from relevant electronic records system, analysing and using initiative to convert the information into appropriate formats and reports.

Managing work duties

In the absence of the V&PE manager you will be required to manage and triage work coming into the team, utilising the team skill mix to deliver best outcomes.

Produce letters, emails or memoranda using standardised Trust templates ensuring accurate filing, recording and distribution.

Process incoming and outgoing mail, telephone or written messages, distributing appropriately and in a timely manner, taking responsibility for signposting or dealing with queries regarding issues arising.

Support V&PE manager in providing information for the undertaken of audits in relation to Information Governance.
