Job summary
This is a six-month secondment opportunity to showcase and develop your skills in providing high level support to the Chief of Strategy and Transformation. This challenging and satisfying role will need great communication, organisation, and forward thinking initiatives. An ability to develop positive working relationships with key colleagues and stakeholders to ensure effective business management and progress is important. The applicant will need to be proficient in using a variety of digital tools including MS Word, Excel, PowerPoint, Teams, and Outlook and be confident to put reports, presentations, and other key documents together. The Executive portfolio includes oversight of Digital and Artificial Intelligence, Transformation, and development of the new Trust Strategy; the applicant will work closely alongside these teams and be confident in providing project support when needed. The applicant will also work in conjunction with the other Executive Personal Assistants and the Corporate Governance Team to ensure smooth management of the Trust Board.
Main duties of the job
To provide an efficient and effective first point of contact for the Executive Director, deal with complex enquiries and sensitive information on a variety of subjects both internally and externally. To investigate, propose and facilitate appropriate solutions, seeking advice when appropriate. To develop and maintain a schedule of reports required for various meetings and other purposes within the Directorate, and an effective alert system including ensuring papers are prepared for Trust Board and Sub-Committees, FTE and other internal Trust meetings in a timely manner and to a required format, ensuring the availability of administrative support at key Directorate meetings, maintaining an up to date record accessible to all in the Directorate, of Directorate and sub Directorate Leads, detailing those staff who act as Lead on behalf of the Directorate for various Trust activities/groups.
To communicate effectively with Executives Direct Reports, organising annual appraisals and job planning meetings. To ensure information is co-ordinated and cascaded appropriately. To work autonomously to provide comprehensive administrative support including complex diary management and forward planning, prepare relevant papers for meetings and travel arrangements, managing all communications, and facilitating responses on behalf of Executive or Senior Manager without direct supervision, identifying and recording Executive meeting actions, nominating appropriate respondent and tracking timely response.
