Job summary

We have an exciting secondment opportunity for an experienced individual to join our busy Transactional HR Team as a Deputy Team Leader for a period of 5-6 months. We are seeking a highly motivated, proactive and organised individual who will join a team that provides assistance in relation to the employment life cycle, through the processing of new starters, changes during employment and leavers. You will need to be highly organised and be able to balance multiple supervisory activities alongside day-to-day administrative tasks.

The successful applicant will need to demonstrate that they work well as part of a team and have previous line management experience or applicable skills to manage a team effectively. You will work under the direction of the Transactional HR Team Leader but be expected to work on own initiative and be responsible for directing and supporting the work activities of the HR Administrators on a day to day basis and undertake line management supervision for the team.

Ideally you will hold an NVQ Level 4 in Administration or have equivalent applicable experience and be able to demonstrate excellent communication and leadership skills.

Experience of using the Electronic Staff Record (ESR) system is essential.

Main duties of the job

The post holder will manage the daily workflow through the team and ensure equal and fair distribution. They will oversee management of the inbox, picking up generic and more complex queries to support the HR Administrators. The post holder will also be expected to support the Transactional Team Leader in the on-going maintenance of ESR data quality through the accurate input of data and the creation of correctly coded positions, regularly checking team output to ensure consistency and accuracy; there will be an expectation that any anomalies are escalated to the Transactional HR & Contact Centre Team Leader. There will also be a requirement to run and produce regular reports and to support the Team Leader with any issues that may be complex or sensitive in nature.

The post holder will be part of the team that receives and implements large volumes of commencement, change and termination forms that have been sent to update ESR in a timely, accurate and efficient manner. They will be expected to deal with escalated challenges in regards to forms which have not been completed fully or incorrectly, ensuring that changes submitted are permitted within the parameters of Agenda for Change and other terms and conditions of employment as appropriate and escalating whenever appropriate to the HR Team Leader. There will also be an expectation that the post holder helps to implement and maintain excellent customer service standards.
