Job summary

We have an exciting and challenging opportunity for an experienced Personal Assistant to join a busy and dynamic environment within Hampshire CAMHS, where no two days will be the same.

The applicant will provide a high level of administrative and personal assistant support to two Hampshire Specialist CAMHS General Managers and the Head of Service, undertaking a wide range of activities, including organisation of training events, attending and taking minutes of meetings.

Excellent administrative, secretarial and organisational skills are vital for this position. Flexibility to work across sites, problem solving skills, a confidential approach and a wish to make a difference are also desirable.

The successful candidate will ideally have had previous experience of working as a Personal Assistant to a senior manager; will be required to have a good standard of secondary education, GCSE at Grade C or above, or equivalent; a recognised typing/word processing qualification, excellent typing and communication skills and a good working knowledge of Outlook, Word and Excel, which will be tested at interview.

The ability to work on own initiative and maintain a calm approach under pressure in a busy environment are all required for this role.

Main duties of the job

To work directly for two General Managers and the Head of Service providing a comprehensive and highly efficient secretarial and administrative support service.

To be responsible for the development and management of effective office systems, including appointment booking, multiple diary management and robust filing systems.

Provide a first point of contact for all face to face and telephone enquiries from a broad spectrum of people, including staff at all levels both from within and outside of the Trust.

Use of appropriate software packages, working to strict timescales and to a very high standard of accuracy. Documents include meeting minutes and agendas, clinical reports and clinical and managerial correspondence.

To undertake ad hoc project work or research for the General Managers, which may include the construction and management of complex spreadsheets and data collection in accordance with the needs of the service.

To plan team events, booking venues as appropriate, arranging catering, equipment requirements and producing detailed delegate packs.

To coordinate monthly meetings, ensuring agenda's and meeting minutes are distributed in a timely manner with agreed action points.

To maintain personnel information concerning staff and assist in staff documentation systems

To be proactive in organising and prioritising workload, managing own time effectively, highlighting problems and proposing possible solutions within available resources.
