Job summary
An opportunity has arisen to join our ward based nursing and therapy team at Alton Community Hospital as a Ward Clerk. Working flexibly, sometimes over two wards, the ward clerk is an integral role supporting the clinical staff in all aspects of administration and acting as a first point of call for visitors. The role requires enthusiasm, attention to detail, plus a friendly and approachable manner.
We are looking for someone that can demonstrate a good level of administrative and clerical experience. You will require excellent interpersonal and communication skills, both written and orally, have a methodical and flexible approach and be able to prioritise workloads in order to meet the service needs, while maintaining a professional, customer focused, approach.
Alongside daily tasks and answering ward telephone calls, the job role includes arranging patient transport, handling medical records, organisation and ordering of ward stock, linen management and IT support for the staff. The post holder will be responsible for the organisation of their own workload and delegated decisions/actions, as deemed appropriate by the Operational Support Officer.
Applicants should have competent keyboard skills and be proficient in the use of Microsoft Office applications. Knowledge of Rio would be an advantage.
This is a full time role with occasional weekend working required.
Main duties of the job
To provide confidential and courteous secretarial/administration support to the Ward staff, patients and visitors.
To time manage and prioritise own work within an ever changing environment, using initiative consistently.
To act as a point of contact for the ward staff and be able to respond within the agreed guidelines using own initiative.
To monitor IT systems and provide IT support for the ward staff and clinical team.
Ensure that patient medical record systems are available and monitor that they are correctly maintained. This includes, but is not limited to, ensuring correct RiO demographics, validations systems, and spine synchronisation, up-loading and maintaining correct documentation.
2.6Daily checks of the resus bag, medicine fridges and updating bedstates. As well as weekly linen orders and material management for the ward.
2.7To manage telephone enquiries on behalf of the ward staff and respond accordingly.
2.8To provide administration support to the Operational Support Officer when needed and take on ad hoc tasks when required.
2.9To keep up to date with the planned admission and discharge pathways of patients.
2.10To coordinate and support patient transport, appointments and other external requests.
2.11To maintain the nurses desk, keeping a tidy space and order stationary as required.
2.12To provide weekend admin cover to both wards at least once a month.
