An exciting opportunity has arisen for an administrator to join the Learning Education and Development team where they will gain experience in an interesting and diverse administration role.

The successful applicant will be a committed individual who is efficient and highly motivated with excellent organisational skills. They will demonstrate excellent customer service and communication skills to engage with stakeholders at all levels and will thrive in a fast paced environment.

They will work flexibly and collaboratively in the Business Support team responsible for the logistical coordination of training and support for learners in the Trust. The role supports a range of administrative processes and business functions with a focus on quality service delivery.

This role is jointly responsible for monitoring and maintaining the Learning Experience Platform which requires process management skills and the ability to problem solve.

In house training will be provided with extended opportunities to participate in professional development relevant to the role.

This post is based at Tatchbury, SO40 2RZ, is 37.5 hours per week, Monday to Friday and will be rostered to work onsite two days per week. We can offer some flexibility including some home working after the initial 3 month induction period.

Main duties of the job

Schedule and co-ordinate logistics of training programmes providing statistical data on training attendance, DNA and compliance

Manage room booking requests and cancellations for training rooms, updating venue calendars as appropriate

Liaise with internal and external venues in order to ensure adequate facilities are available for the provision of training. Conduct regular venue audits to ensure they are fit for purpose

Complete administration of course outlines, online booking, course cancellations, low uptake, training records and reports on the Learning Experience Platform

Administration support for LEAD Helpdesk telephone and email enquiries

Cover reception onsite at Tatchbury two days per week to support trainers and staff attending training courses, ensuring the rooms and equipment is set up

Complete procurement tasks using electronic ordering systems, chase deliveries and receipt online. Provide end of year procurement assistance

Assist in the design, update and maintenance of LEAD staff website pages to ensure information remains current

Attend meetings and take minutes, prepare draft minutes for approval in timely manner and distribute approved minutes

Assist in the review, audit and analysis of administration workstreams, systems, standards and processes. Recommend service improvements, initiate and action change

Support management of building facilities. Report and coordinate maintenance and repairs as appropriate
