Job summary

Applications are invited for this key post supporting the Patient Quality team in its ambition to deliver patient care that is safe, effective and person-centred.

Main duties of the job

The post holder will work closely with the Lead Nurse for Quality and Professional Standards, to provide administrative support. This can include: to support and deliver quality management processes in line with the requirements of the Trust quality work streams.

This is achieved by providing technical and administrative support using the quality management information systems, to schedule meetings, arranging visits and panels, preparing papers, taking minutes, monitoring follow-up actions and distributing papers and supporting diaries management, and by supporting colleagues and external staff with quality processes, and answering information queries.

Job description

Job responsibilities

  • Co-ordinate and support delivery of the Trusts quality management processes, ensuring all requirements are met and systems are kept up to date. This includes:
    • coordinating programme schedules
    • ensuring accurate and timely completion of documentation
    • collating and distributing relevant information
    • monitoring completion of follow-up actions
    • supporting the planning and delivery of education programmes
    • supporting planning and delivery of award ceremonies
    • supporting planning and delivery of celebratory events including the bi-annual Celebrating Excellence event
  • Work in collaboration with Business Intelligence to ensure all data presented at panels and programmes are collated and accurate.
  • Use appropriate technologies to organise own time to manage workload and support delivery of objectives.
  • To support preparation of agendas and circulation of relevant papers/minutes etc. to participants.
  • Adopt a pro-active approach to workload delivery ensuring stakeholders/ participants have sufficient notice to provide relevant information for quality meetings.
  • Prepare high level data reports and correspondence including confidential and complex documents to a high standard.
  • Maintenance of comprehensive electronic filing systems for the patient quality and corporate team (InPhase and Life QI).
  • Liaise with senior clinicians, senior managers and staff within the trust and with outside agencies where required.

  • Typing or word processing qualification at RSA II (or equivalent)

  • Substantial experience of working with databases and spreadsheets and report production at an advanced level
  • Experience of Microsoft Office applications
  • Demonstrable experience of providing an administrative; clerical support service
  • Demonstrable experience of clerical work involving computerised systems

  • Experience of working in a multi-disciplinary team
