Job summary
At AWP NHS Trust we have a Transport Department who are responsible for and manage several transport related services.
These include (but are not limited to):
- Patient Transport Booking Line
- Trust Wide Pharmacy / internal items courier services
- AWP leased vehicles and associated management.
- Liaising with internal and external stakeholders at all levels.
We are looking for a confident, enthusiastic individual who has very good attention to detail and works well under pressure to assist in managing the above services.
The Transport Coordinator role involves the management of a small team of Transport Drivers and Transport Booking Operatives.
Most challenging part of the role is:
- Ability to manage staff in differing roles
- Database monitoring and associated administration
- High level IT skills preferred including Microsoft Office
- Being aware of operational commitments and ability to make changes at short notice to keep services running.

Main duties of the job
The Transport Coordinator will be fully responsible for the day to day management of the Transport couriers and transport booking staff.
Ensure services the department is committed to provide are maintained at all times.
Management of staff including supervision, HR processes, attendance, sickness, annual leave, administration, and any other tasks in order to maintain the operational demands of the service.
The Transport Coordinator would also be communicating with internal and external stakeholders, and being the point of contact for any other ad-hoc queries/requirements that would need addressing.
Ability to work under pressure and effectively manage different staff groups such as transport drivers and transport booking operatives.

Job responsibilities
The Transport Supervisor will be fully responsible for the day to day management of the Transport staff, ensuring any services the department is committed to provide is maintained at all times, to ensure sickness and annual leave is covered along with any administration work generated within the department.
The Transport Coordinator would also be communicating with internal and external stakeholders, answering any queries and being the point of contact for any other ad-hoc queries/requirements that would need addressing.
These will include (but not be limited to):
Covering Annual Leave / Sickness of Drivers (changeable shift patterns) Dealing with queries/complaints from internal and external stakeholders. Day to day problem solving to ensure the transport service commitments are fulfilled. Management of staff Appraisal and Supervision General Administrative duties including filing/data processing etc. To drive all trust vehicles safely and sensibly adhering to the Road Traffic Act and regulations currently in force and be responsible for any fines that arise from driving at work. Excellent Communication Skills Management and administration of transport department paperwork and documents such as Timesheets/Vehicle Check documents/H & S risk assessments/supervision records/Rostas etc. Maintaining databases regarding staff attendance and rostas/payroll information. Point of Contact within the Trust for any Transport Queries. Participate in facilities 24 hour On- Call Rota when weather conditions are deamed to be at a level where additional Trust operational support is required. This would be in suitable vehicles for the weather conditions. Liaise with a range of stakeholders, both internal and external to the organisaion, including: Medical Staff, Service Users, Other AWP departments (payroll/Bank/HR etc), Lease Companies, other relevant agencies/companies. To manage all statutory vehicle and driving records and ensure all records are maintained. To manage, record and organise vehicle delivery/collection documentation. To participate in activities to support the Transport Department as agreed or requested by the Transport Officer e.g.; attendance at meetings, collection/delivery of vehicles, relief driving in the event of sickness or annual leave etc. Planning and Organising of Rostas to ensure that the maximum level of cover is provided from the staff available whilst being aware of cost implications. Maintain official records, including time, sickness and holiday records for all staff within the Transport Dept. To assist the Transport Officer in the recruitment of staff as required. To participate in providing initial and on-going training for transport staff as required. To maintain records of such training in accordance with Trust procedures. To ensure that good driving practices are adhered to within the department. Maintain staff confidentiality at all times Liaise with the Transport Officer and/or any other facilities managers, AWP staff, pharmacy staff or any other staff or agencies as and when required.
