Job summary

We are looking for a positive, solution-focused and diligent administrator to provide all round admin support to BaNES Talking Therapies.

This is a busy and varied role working across the BaNES Talking Therapies team in collaboration with the Business Co-ordinator to support the Service Lead and Talking therapies Clinical team for BaNES. The role requires strong administrative and organisational skills. You will need to be flexible and reactive to the current requests and demands, whilst managing your own workload.

Good Microsoft Office skills including Outlook and MS Teams are essential as the role includes diary organisation and meeting support. There will be a range of NHS and AWP systems to become familiar with including systems that support incident reporting and a Talking Therapies Electronic Patient Record System (IAPTUS) (training and support will be given).

The post holder will become part of our supportive and friendly admin teams for Talking Therapies across AWP. The post holder will also have responsibility for some staff supervision in the admin team for BaNES in collaboration with the Business Co-ordinator.

This will be a part time role based at Bath House, Bath. There is some opportunity for hybrid working which can be agreed locally with the Business Co-ordinator, but will not form a part of the employment contract or become embedded subject to custom and practice.

Main duties of the job

Some of the main duties of this role will include:

  • Inputting and supervising Eroster - payroll
  • Assisting with the running of the Talking Therapies inbox, appropriately sharing information and signposting.
  • Working closely and collaboratively with the Business Co-ordinator in providing support to the Service Manager and the wider clinical team.
  • Accommodation and travel bookings for trainees, general enquiries, patient online referrals management, patient online appointment booking and general appointment booking working within the Electronic Patient Records system for Talking Therapies (IAPTUS)
  • Booking patient appointments, covering admin staff holidays, sickness etc.
  • Arranging meetings, booking rooms, creating agendas and minute taking (formal and informal, face to face and MS Teams). This may include sensitive meetings.
  • Using various Talking Therapies IAPTUS/NHS /AWP admin and IT systems - purchase orders, NHS supplies, Ourspace, all MS Office, room booking, basic Rio, IQ/Report zone etc.
  • Being part of our friendly and supportive Talking Therapies Admin team in BaNES and across the whole Talking Therapies service which covers BaNES, Swindon & Wilts in order to support the BaNES team and help with the ongoing improvements of admin systems and processes.
  • Some supervision of admin staff in collaboration with the Business Co-ordinator.

The post holder will be able to work to high standards and will be required to take personal details from people and upload onto the electronic patient record system (IAPTUS). The post holder will need to meet deadlines, collate data and maintain standards relating to administrative processes. The post holder will be expected to line manage others and will provide support and guidance for matters that are escalated to them by the service Administrators. The post holder will be expected to work without direct supervision and manage their own workload.
