Job summary
We are seeking an enthusiastic and motivated booking clerk to join the Endoscopy department at Gate 13, Brunel Building, Southmead Hospital.
The successful candidate will contribute to the administrative functioning of Endoscopy department and actively assist the multi-professional team in the provision of a quality service. You will support all aspects of the administration within the department including booking of Endoscopy appointments, co-ordination of the patient care pathway systems and the management of waiting lists. The role requires someone who has great attention to detail and great organisational skills for working in a fast paced, busy department.
Main duties of the job
This role consist of general administrative duties such as appointment booking, processing of appointment letters, posting out prescribed bowel preparation to patients, adding patients to waiting lists and regularly speaking to patients over the telephone.

Job description
Job responsibilities
- Liaise with patients, making and taking phone calls to book and change patients appointments for an Endoscopy procedure. Provide patients with information regarding their appointment.
- Liaise with medical, nursing, secretaries and reception staff in the confirmation of bookings for Endoscopy patients.
- Undertake all the administration required for patient appointments including the confirming of appointments and dispensing of prescribed bowel preparations for procedures.
- To monitor and assist in preparing data regarding the care pathways process on a monthly basis; supporting the performance of the department by leading on the validation of patient pathways both prospectively and in the nationally reportable monthly returns.
- Input patients details on to the reporting system in preparation for their procedure.
- Undertake general office and clerical tasks to support the department.
- Book patients to locally agreed booking rules and within trust and government waiting targets, escalating to the support manager with any problems.
- Manage the Endoscopy waiting lists including both surveillance and active waits. This involves adding patients to the lists, triaging referrals, vetting surveillance requests, allocating appointments and liaising with the relevant medical secretaries. This will be for all new, surveillance and recall endoscopic procedures.
- Working from / updating DM01 spreadsheets.
- Cross-cover the other Endoscopy administrative staff and the department receptionists as required for any periods of sickness and annual leave.
- Undertake other duties as necessary to support the smooth running of the Endoscopy department.
- Support the performance of the department through daily work to optimise the utilisation of Endoscopy lists, reduce DNAs, and manage resources effectively.
- To understand and relate to the Trust and departmental guidance on patient access, data protection and patient confidentiality to apply to everyday work practices.
