Job summary
- Carry out and be responsible for appropriate planning of the outpatient clinic room schedule for all NBT Centralised Outpatient rooms belonging to Core Clinical Services.
- Liaise with the Outpatients Nursing Support Manager & Nursing Management Team to ensure appropriate cover to run Outpatient activity across NBT.
- Liaise with specialty managers and support managers to confirm schedules for Outpatient Clinics in advance of sessions and updating the clinic schedule templates and electronic systems to reflect confirmed activity.
- Processing of outpatient clinic room booking requests for ad-hoc, new clinic sessions, and payback sessions in line with agreed protocols.
- Bring data to clinical scheduling meeting for specialties as requested.
Main duties of the job
- Liaise closely with CCS Clinical Matron, Senior Sister and Support Manager in regard to booking and cancelling outpatient clinic rooms, as well as working to confirm Outpatient Clinic schedules, highlighting and working to resolve scheduling conflicts at the earliest opportunity.
- Communicate effectively with Divisions regarding Outpatient clinic templates, maintaining an accurate record of specialty job plans (baselines) and Outpatient clinic room requirements.
- Organise and attend specialty scheduling meetings with specialty representatives, troubleshoot and problem solve accordingly.
- Ability to communicate confidently with staff members of all levels.
- Have a very acute eye for detail
- Chair scheduling meeting in absence of Outpatients Nursing Support Manager
- Work closely with Outpatients Nursing Support Manager to ensure smooth running of clinic room allocation within all Centralised Outpatients areas of Brunel and Cossham Hospitals
- Deputise for the Outpatients Nursing Support Manager regarding diary management for Clinical Matron and Senior Sister when required.
- Attend any meetings as requested by Outpatients Nursing Support Manager and / or Clinical Matron / Senior Sister and be equipped to take minutes if required.
- Be proficient in using Microsoft Office packages and at minute taking.
