Job summary
Southmead Hospital Charity is seeking a dynamic and experienced Head of Operations to join the Charity's senior leadership team responsible for the development and delivery of an integrated Charity strategy for North Bristol NHS Trust, in support of the Trust's overall strategic plan. The role will provide excellent leadership, strategic direction, and operational support for the Charity team to achieve key financial targets and objectives and ensure the smooth running of the Charity.
Main duties of the job
The post holder will lead on data management, cash flow and governance for the Charity, helping to support the development and growth of the Charity, and ensuring the highest levels of data management are maintained. They will develop and lead all aspects of management reporting, analysis, modelling and planning for the Charity, providing insight and guidance to drive and enhance financial performance in both income and expenditure.
An experienced networker, the post holder will develop and lead Charity expenditure, working with fundholders and senior colleagues to drive spend from divisional funds, and support the identification and delivery of suitable charitable projects across the Trust to increase the charity's impact.
Working closely with the Finance Division and using the CRM and management information, the postholder will ensure we have consistent financial and donor information produced to schedule.

Strategy and planning
- Together with the Charitys Director, lead and manage the development of the Charity strategy and operational plans for the Charity, identifying areas of improvement and opportunity.
- Manage monitoring and control mechanisms for performance management; including monthly, quarterly, and annual analysis against agreed objectives.
- Develop plans for the operational and resourcing implications of the Charitys strategy, including human resources, budgets, targets, and financial processes.
- Ensure that the Charity teams knowledge of charity law is upheld, and that policies, processes, systems, and controls are maintained.
- Support the Charity Director and Head of Fundraising to ensure that a donor centric approach is at the core of all activity and that high standards of data are developed and maintained throughout the Charity team.
- Provide support and guidance to fundholders to ensure the Charitys financial and management processes are donor centric and adhere to regulatory best practice, identifying areas of continual growth and improvement.
Data management
- Lead, manage and oversee the development of the Charitys CRM (Raisers Edge) to ensure data is captured which enables the Charity to maintain and grow its database of supporters to drive income, engagement, and stewardship by adhering to best practice in donor management.
- Use data to inform and lead the Charitys business planning and development, identifying areas of improvement and opportunity, and promote a culture where accurate and informative data capture is integral to the Charitys growth.
- Lead the Charitys reporting and insight management to inform our decision making, identifying areas of improvement and opportunity.
- Deliver data on donations via the Raisers Edge CRM system on a timely basis at month end, so we can code the income data accurately as part of month end process to tight timescales.
Cash flow, Governance & Spend
- Lead and oversee the development of the Charitys business processes to ensure the highest standards of donor care and fund management are executed.
- Lead and oversee the relationship between fund holders and the Trust finance team to ensure that donor and fundraising income is allocated correctly and spent in a timely manner adhering to donor wishes and best practice at all times.
- Provide an expert advisory service on compliance and regulatory issues relating to fundraising and marketing activities, including compliance, risk management and data protection.
- Develop and embed good governance and compliance within the Charity so that we are compliant with relevant sector codes, best practice and regulatory requirements including Fundraising Code of Practice.
- Support the Charity Director and Head of Fundraising in ensuring the Charity complies with all aspects of GDPR and data protection. This includes the reviewing and updating of data protection statements and privacy notices.
- Pro-actively identify potential compliance issues and risks, working to resolve matters promptly and appropriately.
- Undertake an annual review of the Charitys compliance against approved governance areas.
- Work with the Charity Spend Officer to manage multiple expenditure items, supporting and problem solving on the larger ones.
- Responsible for the stakeholder management of fund holders across the Trust and be the main point of contact for fund holders.
- Become an expert user of DocuSign, (the Charitys expenditure tracking system), which will include updating, tracking and problem solving.
- Relationship management between satellite sites within the trust including other charities on site and across NBT.

- Working with the Head of Fundraising to plan and take responsibility for the Charity expenditure budget as agreed by the Southmead Hospital Charity Committee.
- Monitor and evaluate performance of all income streams to achieve agreed KPIs and ROI ratios.
- Together with the Head of Fundraising, oversee the development and maintenance of an effective and accurate CRM (Raisers Edge) to ensure best practice in donor communications and stewardship.
- Working closely with the Trust finance team, provide advice and guidance on best practice in the allocation of charitable funds and individual fund spending plans to the Southmead Hospital Charity Committee.
