Job summary

The successful candidate will need to work towards supporting both the Distribution Technician and Distribution Supervisor in the running and development of the Distribution service, including the supply of medicines to non-NBT entities under a Wholesale Dealing Authorisation - WDA (h) and in line with the requirements of Good Distribution Practice (UK GDP).The role will consist of processing goods-in, maintaining storage of stock both within Pharmacy and at Ward level, and processing requests for stock medicines.

There will be a requirement to undertake/complete a Buttercups Level 2 qualification in Pharmacy Stock Management as well as an internal training framework to be able to progress to a Band 3 role. All training will be provided in house with support from the Pharmacy Learning & Development Team.

Main duties of the job

Assist in the day-to-day duties of Pharmacy Distribution and Stores in accordance with Standard Operating Procedures and the legal framework for the supply of medicines to ensure a safe, effective and timely service.To communicate effectively with a range of professionals, both internally and externally, as well as individuals such as patients and the general public, and awareness of when to refer to line manager.

To support the Logistics when required.

Ensure compliance with Good Distribution Practice (UK GDP) undertaken within NBT Pharmacy.

Initial Band 2 Pharmacy Assistant Role

  • Process and pick requests for stock medication against agreed stock lists and stock levels.
  • Complete stock checks at ward level against agreed stock lists, ordering required medication against agreed stock levels.
  • Check requests for ward stock in line with the requirements of Good Distribution Practice (UK GDP) for both NBT and non-NBT entities.
  • Order, put away, and maintain IV Fluids supplied by our third-party fluid supplier from Receipt & Distribution (R&D) to ward/department level.
  • To ensure prompt, safe, and secure transportation of medication to areas of North Bristol NHS Trust (NBT), non-NBT entities following the Standard Operating Procedures (SOPs) that are in place.
  • To pack medication appropriately, ensuring all departmental protocols and current legislation are followed regarding cold chain products, controlled drugs, and cytotoxic substances.
  • Communicate efficiently with a wide range of other members of North Bristol NHS Trust, including other Pharmacy staff and ward staff, as well as staff at non-NBT units.
  • Deal with routine service enquiries and process urgent delivery requests in a timely manner via the third-party ad-hoc delivery service, if required.
  • Any other duties, which may be required by the Director of Pharmacy for the benefit of the service.
  • All Pharmacy staff involved in the supply of pharmaceuticals/medicines need to ensure that they, and the process of supply, are compliant with all relevant and current legislation. For stock supply, including any medicine supplied under the WDA(h), Good Distribution Practice (UK GDP) must be followed at all times.
  • Staff have a personal responsibility to ensure that all activities undertaken within NBT Pharmacy Services are compliant with Good Distribution Practice (UK GDP) and all relevant department procedures are understood and followed appropriately.
  • All Staff must complete the required training sessions in relation to both GDP and WDA (h) annually as identified by the Pharmacy Training Team.
  • All staff are also required to ensure that they keep up to date with reading updated Standard Operating Procedures (SOPs), maintain records of Mandatory and role specific training, and that they maintain a high level of professional knowledge and competence in relation to their role with Pharmacy Logistics and Distribution.
  • All staff are required to complete Buttercups Level 2 Training and the Distribution Competency Framework allowing them to then progress to the Band 3 role.

Requirements in Band 3 Senior Pharmacy Assistant Role

  • Process formal requests/purchase orders from non-NBT entities under our Wholesale Dealing Authorisation WDA(h) in line with Standard Operating Procedures (SOPs).
  • To maintain spreadsheets, databases, and other forms of electronic and manual records for purposes, such as recording information about activity, deliveries, and performance for use in KPI collection and Quality Management Systems (QMS) meetings.
  • Undertake ward storage audits against agreed paperwork provided by the Pharmacy Governance team, reporting any discrepancies or issues to the Distribution Supervisor or Lead Technician for Distribution.
  • Support the completion of regular ward stock list reviews, adjusting stock levels where appropriate, and/or processing ad-hoc ward stock amendment forms.
  • Be actively involved with the induction programme of new starters and students to ensure that they are properly trained and inducted for their Distribution duties, as well as assist with the ongoing training of Pharmacy Assistants and Pre-Registration Pharmacy Technicians, ensuring that they complete and maintain the relevant accuracies in line with the requirements of the Assistant post.
  • Support the organisation and delegation of workload for the Band 2 Pharmacy Assistants in the absence of the Distribution Technician and/or Distribution Supervisor.
  • Support the Band 4 Distribution Supervisor in running a smooth Distribution service, escalating issues where appropriate.
  • Processing the integrity of returned medication in line with all Standard Operating Procedures (SOPs), ensuring that only suitable medicines are returned for use and that the correct waste streams are used for those that are not.
  • Trained and competency maintained as a Robot (ARX) superuser.
  • Maintain all competencies and training required for the Band 3 role, such as Booking, Picking, Checking, and Returns accuracies.
