Job summary

The primary role of this post is to under the guidance of the Specialist Pharmacy Technician: Procurement supervise the day-to-day operation of the Pharmacy Procurement team in line with Trust policies and Carter recommendations to ensure a safe, effective, timely and high-quality service is always provided.

Procurement is the lead role area, however this role requires knowledge and ability to provide cross cover for the B4 Invoicing Supervisor role and vice versa

To support the Pharmacy Procurement team in all aspects of administration, operational service, and system development at North Bristol NHS Trust.

Actively works to reduce medicines wastage and ensures best value procurement against CMU contracts.

Assist with all aspects of HR and recruitment (including but not limited to staff appraisals, sickness absence management, capabilities and disciplinary procedures and processes as required by the Trust).

Main duties of the job

Purchasing of pharmaceutical products and authorisation of computer and manually generated orders in keeping with procurement contracts and other agreed standards for Procurement and Stock control services. Resolves supply problems and queries with orders and stock, purchasing in an accurate and timely manner to minimise shortages whilst ensuring that quality and value for money are paramount. Ensures that continuing supply problems are effectively communicated to all relevant Trust and departmental staff. Liaises closely with pharmacy invoicing team in connection with invoicing issues, problems, and pricing queries. Takes incoming phone calls, which can cover a wide range of queries and dealing with them quickly or forwarding to an appropriate person. Respond appropriately to a range of emailed queries regarding the availability and procurement of pharmaceutical products. Actively works to reduce medicines wastage and ensures best value procurement against CMU contracts.

Education/Training/Qualifications

Essential

  • Educated to Degree level or equivalent demonstrable experience
  • Buttercups course or NVQ Level 2 Pharmacy Supply Services or equivalent
  • Completed or willing to work towards Management and Leadership competencies
  • Completed or willing to work towards a Leadership course such as Edward Jenner or equivalent level 2 certification
  • IT competencies equivalent to GCSE Grade C, including experience using Microsoft Office software to Inc. Excel

Desirable

  • Business & Admin Qualification (Level 3)

Work Experience

Essential

  • Experience of working in a purchasing office (non-pharmaceutical based)
  • Experience of training others
  • Experience of working as part of the multidisciplinary team
  • Recent Clerical experience within a busy office environment.

Desirable

  • Previous employment in a purchasing officer role in hospital or community working at band 3 level
  • Experience of leadership / mentoring
  • Experience of training others within a healthcare setting

Knowledge/Skills/Abilities

Essential

  • Good interpersonal skills to communicate effectively with pharmacy staff, hospital staff, patients/carers and Industry partners external to the NHS
  • Ability to input data accurately using the pharmacy stock control computer system as well as 3rd party I.T systems
  • Experience in using I.T. stock control and ordering systems such as JAC and 3rd party system such as Medecator, RxInfo and CMU (or similar if non NHS)
  • Knowledge of NHS Standing Financial Instructions
  • Ability to maintain a portfolio of work-based experience
  • Understands the limits of responsibility for non-registered staff
  • Ability to write and analyse reports
  • Experience and understanding of good supervision and leadership.
