Pre-Op Assessment Administration Assistant

Job summary
The post holder is responsible for supporting the Pre-assessment nurses and theatre schedulers with the electronic pre-operative assessment tool across the Trust.
The post holder will receive training and access to the electronic pre-operative assessment tool and will be expected to ensure the system is kept up to date following clinics; scan and upload information to and from the system; and ensure all details are accurate and accessible across all relevant digital platforms. The role will also involve responding to patient appointment queries and sending postal information to patients as directed by the nurse reviewers.
Other duties include general filing, answering telephone calls, covering reception and logging information as required, and carrying out any other appropriate tasks when needed. Computer literacy, customer service skills, and strong organisational and communication skills are essential for this role.
The post holder will be required to have good interpersonal skills, effective verbal and written communication skills, a polite and courteous manner, and a professional attitude.
Main duties of the job
Use of the Trusts' digital systems used within the pre-assessment team, including PAS, Cerner, ICE, MyPreOp and any other relevant clinical systems.
Supporting patients with appointment queries.
Scanning ECGs, patient summary sheets, observation sheets and other patient documentation into the appropriate clinical systems.
Sending postal information to patients when instructed by the Nurse Practitioner.
Providing reception cover when required, including greeting patients, managing queries and supporting clinic flow.
Scheduling urgent patients and assisting with appointment adjustments to support team members as needed.
Always working as part of a team, providing cover for other team members and taking on additional duties as required.
Prioritising workloads based on clinic dates as set by your Team Leader.
Recording information accurately and appropriately.
Recognising and following relevant policies and being aware of national guidelines, including Data Protection and Freedom of Information, during your working day.
Answering telephone enquiries promptly and professionally, communicating relevant information as required.
Ensuring patient confidentiality is always maintained, including ensuring that patient records entrusted to the post holder are never left unattended.
