Job summary

An exciting opportunity has become available within the Fleet Department in the Northamptonshire Division to be involved in managing and development of the Northampton Vehicle Maintenance workshop.

The Role entails supervising all workshop staff on a day-to-day basis in line with trust policies, ensuring that work is allocated according to priorities and that staff are fully employed on productive tasks during full period of paid working hours. Whilst also maintaining and developing good practices in health and safety at work.

To ensure that vehicles and equipment operated by the Trust, or its external customers are maintained and repaired in a timely and appropriate manner inline with agreed performance indicators.

Communicate and disseminate information with regards to fleet availability with stakeholders to assist with planning of vital operational needs of Trust.

Main duties of the job

The successful candidate will be required

- Allocates jobs to the Technicians and drivers according to the trust and departments priorities.

- Supervise the work in hand ensuring that work is progressed and completed to a high standard and all documentation of work carried out is updated on the trusts vehicle maintenance system.

- Liaise with stakeholders to ensure safe fit for purpose vehicles and equipment are available for Operational Staff and in the correct location to help meet the Trusts wider objectives.

- Arrange MOT testing to Trust vehicles in accordance with agreed policy and maintains the MOT diary if workshop is also an MOT testing site.

- Supervise the attendance and conduct of staff within the workshops in accordance with Trust policies and professional advice. Carrying out informal counselling of staff should problems be identified and referring major or recurring concerns to the Head of Operational Support as appropriate.

Job description

Job responsibilities

1. Allocates work to fleet vehicle technicians and drivers according to priorities of the both the Trust and department ensuring that personnel are fully employed on productive tasks throughout the full period of paid working hours. This includes vehicle technicians working off site allocating them jobs and directing as necessary.

2. Contributes to the workload of the workshop as supervisory duties allow, working to responsibilities of the Vehicle Technician role description and of their own outlined in this document

3. Ensure that tooling and diagnostic equipment required for servicing and repairs to Trust vehicles and equipment are available for use as needed by staff and that stores documentation procedure is adhered to.

4. Supervises the work in hand ensuring that work is progressed and completed in an appropriate and timely manner in accordance with agreed performance indicators, liaising with stakeholders to ensure safe fit for purpose vehicles and equipment are available for Operational Staff and in the correct location to help meet the Trusts wider objectives.

5. To be able to identify issues, priorities and multitask, thinking on feet and work with limited or no supervision.

6. Maintains the workshop diary system for vehicle bookings and liaising with Operational Colleagues, regarding the arrangements.

7. Ensures all appropriate documentation is carried out to a high standard to support the work of the workshop.

8. To be conversant with the Departments vehicle management system raising work, inputting data / update files using the keyboard, as required.

9. Ensure good practice in maintaining health and safety at work, always, Bringing defects to the attention of staff and Heads of Operational Support. This includes responsibility for accident and incident reporting, appropriate handling of hazardous materials and maintenance of workshop and its equipment in a safe, clean and effective condition.

10. Supervises the attendance and conduct of staff within the workshops in accordance with Trust policies and professional advice. Carrying out informal counselling of staff should problems be identified and referring major or recurring concerns to the Head of Operational Support as appropriate.

11. Monitor the performance of Vehicle Technicians and apprentices by carrying out regular quality control tests of work carried out and recording outcomes Should consistent problems be identified or any concerns raised they should report to Head of Operational Support.

12. Co-ordinates effective cover arrangements for the workshop, ensuring agreed service availability is provided all year round.

13. Assists VRC colleagues in arranging any breakdown triage or recovery of Trust vehicles using employed staff or external contractors as necessary.

14. Engage proactively with key stake holders such as Operations Managers with regards to booking in routine maintenance and organising repairs to Vehicles and equipment identified by them.

15. Engage proactively third parties arranging and co-ordinating any vehicle repairs involving external contractors and keeps good lines of communication with them.

16. Arranges MOT testing to Trust vehicles in accordance with agreed policy and maintains the MOT diary if workshop is also an MOT testing site.

17. Engages and contributes to meetings and training programmes as requested for the development of the Operational Support function.

18. Ensures workshop equipment is calibrated, and safety checked as regulations require by fleet staff, reporting any issues to contracted third party and Head of Operational Support.

19. Liaises with the Head of Operational Support regarding any recurring vehicle defects, warranty issues, parts shortages or other technical matters to ensure a consistent approach to resolving problems

20. Holds local meetings with staff including toolbox talks to promote inclusivity and support to rest of team. Notarising these and then reporting back to the Head of Operational Support.

21. Ability to disseminate complex technical information with rest of team to third parties and to Management.

22. Be fully conversant on all work carried out in fleet workshops.

23. To perform urgent and unscheduled repairs which will interrupt daily working schedules.

24. Provide and present specialist technical advice or information as a subject matter expert in their field to the Head of Operational Support, other senior managers and Directors within the organisation

25. Provide subject matter expert guidance to the parts specialist as and when required

26. Step into parts specialist role as and when needed with ability to order parts and assign parts to job cards out as necessary.

27. Ability to train and upskill new and current workforce on maintenance and repairs of Trusts vehicles and equipment to ensure we are as self-sufficient as possible.

28. Act as mentors to new staff and apprentices as well as coaching and mentoring rest of the working team. Collaborating with Management to identify any areas of development required.

29. Participates in the recruitment, selection and training of workshop staff as necessary.

31. Carry out annual Personal Development Review with staff that report to them directly.

32. Ability to give constructive feedback and participate in uncomfortable conversations.
