Job summary
The post holder will provide administrative support to the Health and Safety Team. The post holder will ensure that internal procedures are followed and deadlines are adhered to so that the Team provides a quality, focused and professional service.
The role will include dealing with complex and sensitive information therefore the post holder must always demonstrate professionalism. It is essential that you can liaise and communicate effectively with staff, patients and public. This will include the use of excellent interpersonal skills including tact and diplomacy. The successful applicant willhave a demonstrated ability to deal with a high volume of work whilst maintaining standards and meeting deadlines in a fast-paced environment proactively assisting the Team to achieve their objectives. Must have the ability to use personal judgement and follow managerial guidance and support in relation to prioritisation of workload.
You will have experience in a role that requires attention to detail and accuracy. You will be able to coordinate and manage large amounts of administration and support the Team in their role to distribute and disseminate prepared information, meeting papers, safetynotices, inspection reports and risk documentation.
The successful applicant will be a competent user of Microsoft Office packages including proficient use of Word, Excel, PowerPoint and Outlook.
The Post holder will work in accordance with the Trust Policies and procedures.
Main duties of the job
- Assist where necessary Team with their administration duties including maintaining databases and systems and processing audit results into electronic systems.
- Provides general administrative support for the Team including, maintaining/updating the team's databases, distribution of tasks, minute taking and inputting audit information.
- Proportionate and timely information sharing with the appropriate and identified external agencies which include the Health & Safety Executive (HSE) Fire & Rescue in line with Trust Policies.4. Manage and coordinate diaries, collation of information and agenda items for cases and internal meetings and producing documents for trust use. Scheduling ofinterviews and meetings on behalf of the Team.5. Chasing outstanding actions in relation to audits and investigation action plans6. Maintaining the Policy and Risk Assessment schedules7. Ensure all documentation is contemporaneous and in line with current procedures.8. Maintain working knowledge of all EMAS policies and procedures and adhere tothem at all times.9. Any other duties within the general scope of this post, which may reasonably berequired.10.Will be responsible for continuous personal professional development
