Receptionist/Administrator

Job summary

The receptionist plays an important role as is often the first face-to-face contact for service users and visitors to the Marina house Building, 1st Floor. The receptionist, therefore, should ensure that the experience with clinical services is efficient, effective, responsive and sensitive to all that visit Marina house and promotes the good image of the services at all times.

The receptionist is expected to provide a professional telephone service by operating a busy telephone service dealing with callers in a courteous and friendly manner. The receptionist should be able to recognise and draw urgent matters to the relevant staff and departments quickly.

The post-holder will be required to provide some administrative support to the wider teams based at the Marina House Centre as and when required.

Main duties of the job

  • Meeting and greeting patients and visitors
  • Answering phone and email queries
  • Managing and distributing post
  • Managing courier deliveries/collections
  • Reporting maintenance issues, following up any outstanding issues with the appropriate people
  • Maintaining the presentation of reception area

Job responsibilities

  1. To provide reception duties which will include assisting people in a helpful, diplomatic and tactful manner, screening and re-routing calls, as appropriate. Taking clear, concise messages and dealing with general enquiries, where appropriate.
  2. To maintain the reception area, e.g. replenishing leaflets etc. Overseeing the signing-in procedure for service users and visitors on arrival.
  3. To allocate interview rooms.
  4. To be able to act independently to ensure daily allocated tasks and on-going workload are prioritised and completed within agreed timescales whilst maintaining quality standards.
  5. To provide a professional and confidential administration service, that includes copy typing; preparing correspondence; documents; photocopying; filing; scanning; dealing with post, ordering stationery etc.
  6. To contact the Trust Estates and Facilities Department to report works for the Marina House building, as required and to assist in ensuring the reception areas is a clean and safe environment.
  7. Assist teams with the development of patient information and team leaflets in an organised manner.
  8. To attend, and actively participate in, administration team meetings to assist in the implementation and continual review of systems to ensure good practice.
  9. To be trained as nominated Fire Warden, First Aider and/or Health and Safety Champion if appropriate.
  10. To assist in service user feedback.
  11. To participate in development and training identified through the appraisal and supervision process.
  12. To attend and participate in all identified mandatory training.
  13. To assist with the induction of new staff.
  14. To ensure all duties are carried out in line with Trust policy.
