Staff Engagement and Events Assistant

Job summary

The Staff Engagement and Events Assistant plays a crucial role in supporting the engagement of our workforce. The postholder will provide experience of event administration and wider staff engagement support.

Directed by the Staff Engagement and Events Officer and working alongside other departments including clinical teams, people and organisational development, communications, staff support, staff networks and external stakeholders including Maudsley Charity, they will support the delivery of staff engagement and staff recognition projects across the organisation to support the Trust in the delivery of making South London and Maudsley NHS Foundation Trust a great place to work and improving the organisations overall staff engagement metrics.

Main duties of the job

  • The postholder will provide administrative support to staff engagement activities across the Trust.

    The postholder will contribute to the successful delivery of the Trust's five-year strategy through supporting internal staff engagement plans using a range of communication and engagement channels to aid the delivery of short and long-term projects.

    The postholder will be highly organised and able to manage multiple requests for administrative support.

    The postholder will be experienced is supporting the delivery of events.

Job responsibilities

Staff Engagement general duties

To set up and administer staff engagement activities and meetings as directed by the Staff Engagement and Events Officer and members of the communications management team.

To take notes at staff engagement events and meetings.

To provide support through the e-procurement system to place orders, raise POs and receipt good.

To maintain logs/ records of staff engagement activity to support reporting requirements.

To provide event administration and support for Long Service Awards, Staff Awards and other events.

To arrange the printing of documents as required to support staff engagement activity.

To act as a point of contact for the staff engagement element of the team, signposting and responding to requests via email and phone as appropriate.

Physical effort required to move materials from one location to the next to support events, promotional days for example. The postholder will be required to work from frontline settings including inpatient and community sites.

Change Makers

  • To support the Staff Engagement and Events Officer to ensure the successful delivery of Change Makers.
  • To provide administrative support to the Change Makers scheme e.g. updating and maintaining logs.
  • To set up meetings and provide action note relating to Change Makers including meetings between the Maudsley Charity and the communications and engagement team, and to administer the grant making panels.
  • To support the e-procurement process including the submission of purchase orders.

Staff Recognition

  • To provide administrative support to the Trust wide Plaudits process (staff recognition) working with the communications team and Staff Engagement and Events Officer.
  • To work with HR colleagues to ensure HR checks are completed on all named individuals and teams, flagging any issues to the Staff Engagement and Events Officer in a timely manner.
  • To work with senior leaders to determine the monthly team and individual winners.
  • To ensure timely presentation of monthly certificates by executive directors/ senior leaders as per the Plaudits process.
  • To print certificates and other recognition items as part of the process.
  • To share monthly Plaudits with those nominated and their managers to support local recognition.
  • To provide administrative and events support for the annual staff awards programme and event.
  • To order goods and services online to support staff recognition activities.
  • To book venues and meeting space for staff recognition activities.

Finance

To use the e-procurement system to order and receipt goods and services.

Training and Development

To undertake Mandatory and Statutory training (MAST) as required by Trust Policy

To contribute and commit to undertaking and Performance Appraisal and Development Review (PADR).

To undertake personal development as identified in the PADR.

To introduce new starters to the staff engagement function at corporate inductions.

To train colleagues at all levels across the Trust in staff engagement skills as required.
