Job summary

An exciting opportunity has arisen for an enthusiastic, experienced and proficient Senior Administrator.

Post holder will offer exceptional customer service while managing the appointment bookings, clinics outpatient calendars and secretarial support for the Lambeth LWC Community teams.

The successful applicant will possess robustorganisationalskills, excellent communication and interpersonal skills and will also be able to demonstrate a sound knowledge of Microsoft Officeprogrammesincluding Outlook, Word and Excel. The post holder will be comfortable with IT and be keen to learn new software packages and processes.This is a challenging roles working within an extremely busy office and it is therefore important that you are enthusiastic, motivated and able to work under pressure. You must be able to demonstrate the ability to work independently and as part of a team.

Main duties of the job

  1. The post-holder will be responsible for providing a proactive, comprehensive administrative service to a multi-disciplinary team, enabling the team to operate effectively and efficiently.
  2. The administrator is sometimes the first point of contact for service users, families/carers and other members of the person's network and plays an important role in ensuring a good patient experience and positive image of the service.
  3. Managing and overseeing the administrative component of the Trust patient database, i.e. inputting referral and patient information, monitoring and updating data quality, and data protection request.
  4. To monitor and maintain accurate waiting lists, in conjunction with the clinical team, provide report, data cleansing.
  5. Organising and minute taking for various meetings.

Key Responsibilities:

1. Responsible for the day-to-day administration within the community service.

2. To be proficient with Microsoft office applications on behalf of the clinical team, including booking appointments with the consultants and the care co-ordinators.

3. Deal sensitively with patients, patient's relatives and clinical staff and ensure that urgent matters are drawn to the attention of relevant staff quickly and accurately.

4. Responsible for the recording, maintaining, updating and accuracy of clinical activity and patient information pertaining to the service. Ensure activity on the ePJS is accurate.

5. To assist with recruitment and retention of junior administrators.

6. To be involved with the induction and liaising with digital services to get new staff to the team onto the system.

7. Maintain office systems, enabling the prompt retrieval of information.

8. To manage the team petty cash expenses and reimbursing staff following procedure.

9. To maintain and ensure high levels of data collection and data quality for the service, achieving 100% accuracy in specific identified areas in line with Trust targets.

10. To support and work in close liaison with multi-professional team.

11. To take overall responsibility for maintaining and updating an accurate waitinglist for the unit on a weekly basis, ensuring excellent communication links with the clinical staff to enable them to make informed decisions regarding individual patients.

12. To be involved in staff meetings and discussions as appropriate.

13. To have basic knowledge of digital services to assist colleagues with IT tasks.

14. To takes minutes as required at various meetings and attend Teams meetings as required.
