Job summary

The post holder will work as a member of the Trust's centralised Safeguarding Team with the Associate Director for Safeguarding to ensure the organisation meets its organisational, statutory and regulatory requirements and responsibilities to safeguard adults and children.

The post will have a direct impact on the way the Trust delivers services to service users and carers, working to embed a robust culture of safeguarding. The post holder will report to the Trust's Safeguarding Adults and Prevent Lead and Named Nurse for Safeguarding Children, promoting exemplar safeguarding practice and incorporating a 'Think Family' approach.

The post holder will need to:

  1. Be responsible for the line management of the Centralised Safeguarding Team Administrator, and the day-to-day administration of the Safeguarding Children Service
  2. Process information required to ensure that the Safeguarding Children and Adults Lead clinicians have the appropriate information and notification.
  3. Provide high quality comprehensive and efficient administrative systems to ensure that the service is fully functional in line with South London and Maudsley NHS Foundation Trust (SLaM) Procedures and statutory requirements.
  4. Assist the Safeguarding Professionals with the children and adults MASH screening and appropriate triaging of notifications/requests received via the Centralised Safeguarding Team, email.

Job responsibilities

  • To ensure effective and efficient day-to-day running of the Centralised Safeguarding Teams office.
  • To be responsible for the daily collection and triaging of all the safeguarding related referrals
  • To undertake such work as is required to ensure children and adults are appropriately cross-checked on the various databases and their information correctly matched.
  • Establish effective communication channels and working relationships with multi agency teams developing open dialogue at all levels.
  • Maintain constructive relationships with a range of internal and external stakeholders.
  • Present information and issues, explaining complex issues, to a range of internal and external stakeholders.
  • To manage difficult relationships from other parties which can arise out of case management, reporting difficulties and seeking support to management.
  • To assist the Trust wide Named Nurse for Safeguarding children and Trust wide Safeguarding Adults Lead, prepare for internal and multi-agency meetings; following up any relevant actions as directed and documenting the outcomes of the meetings on the Centralised Safeguarding Teams folder and relevant Trust database.
  • Provide line management to the Trust wide Safeguarding Team Administrator and ensure the Teams folder and other databases are up-to-date.
  • To maintain confidential electronic filing systems and ensure availability of relevant documents upon request.
  • To co-ordinate and implement administration systems such as Team planners, request for reports, rota, trust wide safeguarding communication, et cetera, for safeguarding as necessary/required by the Associate Director of Safeguarding and Trust wide Safeguarding Leads.
  • To maintain a system for the effective communication of information within SLaM and with other agencies using appropriate safe forms of communication.
  • To type up letters/reports as required
  • To provide support to the Named Doctor(s) for Safeguarding in their safeguarding work.
  • To ensure all correspondence both internal and external is sent according to Trust Information Governance Guidelines.
  • To work collaboratively with the Safeguarding Team Administrator to ensure that telephone calls, face to face and email enquiries are dealt with promptly and efficiently.
  • To ensure a professional and welcoming response to all queries and visitors to the safeguarding office, is always maintained.
  • The role requires contact with patients, the public and members of the community and you will act in a courteous and professional manner at all times as a representative of the Trust.
  • To ensure strict confidentiality of all Trust records in accordance with the General Data Protection Act 2018 and UK GDPR guidance and resources.
  • The post holder will provide cover arrangements for the Trust wide Administrative role.
  • To have Level 3 safeguarding children and adults training and to be accountable for following safeguarding processes and procedures at all times.
  • To undertake any other duties appropriate to the post, that may be required.
  • Participate in relevant internal and external working groups/projects, services and initiatives to provide, information and analytical advice.
  • To liaise with other Managers to share best practice.

  • Plan and organise a range of activities, project planning, making timely and measured adjustments to plans; including ongoing and time-limited work streams.

  • Self-manage own workload effectively ensuring work plans are realistic and completed in a timely and efficient manner.

  • Graduate Recognised
  • Safeguarding Level 3
  • Recognised word processing / Secretarial qualification or NVQ administration level 3 or RSA III or evidence of further/higher education
  • At least 3 years in an administrative support post

  • ECDL qualification or equivalent, or working towards

Experiance
