Job summary
We are seeking an enthusiastic and efficient Team Administrator to join the Self Harm Outpatients Service and the Trauma Dissociation Service at the Maudsley Hospital. The position will involve working across both these national specialist services to help the teams offer optimum care.
The Self-Harm Outpatient Service provides assessment and two years of psychoanalytic psychotherapy for adults who have enduring problems relating to self-harm and other forms of self-destructiveness. We also provide consultation to teams and individuals and support other mental health professionals through teaching and supervision.
Trauma and Dissociation Service
The TDS specialises in the assessment and treatment of complex post-traumatic stress disorder (PTSD) and dissociative disorders. We are a national service offering second opinions and new forms of treatment for people with complex presentations. The TDS is part of the Psychological Medicine Older Adults Directorate (PMOA). The service takes referrals from GP's, CMHTs and senior clinicians nationally and locally and Self-Funded referrals.
The appointed person would be responsible to manage and oversee the administrative component of the Trust patient database including inputting referral and patient information, monitoring and updating operational data quality across both services.

Job Purpose:
The post-holder will be responsible for the participation in the provision of a high-quality administrative service to Self-Harm Outpatients team and Trauma Dissociation Services.
Above all we are looking for a keen and enthusiastic individual who can show determination and commitment as this individual's role will be working across the 2 teams.
The post holder will be required to work 22.5 hours per week.
The Self-Harm Out-Patient Service (known as 'SHOPS') provides assessment including second opinion psychiatric assessment, consultation, as well as treatment for patients who self-harm and engage in other forms of self-destructiveness, and who may have experiences of trauma.

To be responsible for the day-to-day administration of the outpatient clinics, booking and confirming appointments and coordinating requests from clinicians.
- Undertake minute taking, proficient in Excel, audio and copy typing for the provision of client related reports, assessments, clinic correspondence and discharge summaries.
- To provide a professional, confidential, sensitive, and friendly front-line service to patients, relatives, and referrers. Able to take accurate detailed messages as necessary ensuring urgent items are passed on to relevant staff and take follow up actions where appropriate.
- To be responsible for the timely recording, updating and accuracy of clinical activity entered onto the Trusts database and that quality standards are achieved for all patients records (includes outcoming appointments, quarterly outcomes and PEDIC).
- To process referrals to the service, arranging funding from the appropriate authority both within the Trust and from National Services.
- Undertake general administrative tasks: scanning documents, dealing with post, faxing, photocopying, filing, diary management, organise and minute meetings, order stocks and supplies, processing invoices and coordinate the appointment for honorary staff with HR.
- To be flexible and undertake any duties commensurate with the level of the post as directed by your manager.
- To be conscientious, self-motivated, and punctual with the ability to work to deadlines. Ability to facilitate change within the work area.
