Job summary
We are looking for you to work in our warm and friendly administrative team, to provide comprehensive, high quality administrative and information support to Camden MOSAIC Children's Services based at Kentish Town Health Centre, Health Support Services for Vulnerable Children, based at Crowndale Health Centre. Alongside other colleagues, you would provide administration support across our integrated team. This job offers a hybrid of on-site and virtual working.

Main duties of the job
Are you a driven and pro-active administrator with experience working in the NHS or similar healthcare setting? We are seeking to recruit you to our Children's Services Clinical Teams based at the Kentish Town and Crowndale Health Centres. The post-holder will be responsible for providing essential administrative support to the team including:
- Managing bookings for clinics and groups
- Data Entry
- Reception cover
- Incoming calls
- Processing referrals
Your work will be a key part of the quality of our service, and the experience of our patients and their families. You will need to be a compassionate and empathetic person who has experience of dealing with members of the public as well as staff from other organisations such as Local Authorities and Hospitals. You'll be someone who embraces inclusive principles and is a good communicator. Knowledge of NHS patient record systems is desirable, previous use of SystmOne an advantage.

- Sending, receiving and processing letters on behalf of the services
- Printing, scanning and uploading / filing documents electronically and in paper files as appropriate
- Processing documents for Consultants on Dictate IT or other similar dictation software
- Maintaining and updating databases
- Sending reminders (to young people, families or other agencies) and following up where children are not brought to / do not attend appointments.
- Responding to email and telephone queries from service users and other professionals, and escalating where appropriate. This will include maintaining shared email inboxes
- Receiving and preparing IT requests and other similar requests for new starters for sign off by a manager
- Supporting the referral/appointment process through effective communication with all relevant parties; processing referrals, sending out appointment letters, booking rooms, arranging interpreters. Preparing any papers/files for clinics as required. Performing other relevant patient-related tasks on the electronic health record e.g. updating demographics, marking shared care plans
- Booking equipment such as projectors and laptops, and providing technical support for meetings/training

- Educated to GCSE standard ( A - C Grade ) or equivalent, including English Language and Maths
Desirable
- NVQ2 in customer service, office administration or relevant subject.

- Knowledge of using Microsoft Office packages to compose standard letters and reports, and data entry, along with excellent keyboard skills
