Job summary
The post holder will be expected to work within a team environment providing a robust and comprehensive clerical service, together with general administrative tasks to the Care Group supporting the Team Leaders, the Specialty Secretaries, Consultants and their teams.
The post holder will be expected to provide a robust and comprehensive administration service to the Women's and Children's Care Group supporting the Team Leaders, the Specialty Secretaries, Consultants and their teams.
Main duties of the job
- Open and prioritise incoming post as requested working with the Specialty Secretaries to prioritise in accordance with the Standard Operating Procedure.
- Make and receive telephone calls and fax correspondence as directed.
- Effective liaison with relevant wards and departments within the hospital and with patients and other providers associated with the Consultant to ensure a prompt and effective communication system.
- Collect and distribute notes and information regarding queries and complaints for review by the clinical team when appropriate, ensuring correct tracking of notes in the Department.
- Liaise with Medical Records Department to ensure the patients' medical records are available for all clinic sessions.
- File patient investigation results and correspondence in case note
- Undertake general office duties including photocopying, faxing and filing.
- Support the Specialty Secretary team in the typing of clinic.
- Input data into computerised systems as required to include typing, copy/paste and scanning.
- Keep up-to-date with any computerised systems introduced and attend any training required. Must be proficient in the computerised patient administration system (Lorenzo).
- Monitor stock levels of stationery and highlight shortfalls to the Specialty Secretary as appropriate.

We are a University teaching hospital full of hard working and dedicated staff providing community and hospital services across the Morecambe Bay area.
We operate from three main hospitals-Furness General Hospital (FGH) in Barrow, the Royal Lancaster Infirmary (RLI), and Westmorland General Hospital (WGH) in Kendal, as well as a number of community healthcare premises including Millom Hospital and GP Practice, Queen Victoria Hospital in Morecambe, and Ulverston Community Health Centre.
FGH and the RLI have a range of General Hospital services, with full Emergency Departments, Critical/Coronary Care units and various Consultant-led services.
WGH provides a range of General Hospital services, together with an Urgent Treatment Centre, that can help with a range of non-life threatening conditions such as broken bones and minor illnesses.
All three main hospitals provide a range of planned care including outpatients, diagnostics, therapies, day case and inpatient surgery. In addition, a range of local outreach services and diagnostics are provided from community facilities across Morecambe Bay.
