Job summary
The Critical Care Directorate is seeking to appoint an efficient and motivated ward clerk/administrative assistant and will need to have excellent communication and organisational skills, be adaptable and have the ability to use their own initiative, whilst also having the ability to cope under pressure. A good telephone manner is essential. A knowledge of E-CaMIS/PAS/hospital systems are essential. Basic computer skills and typing skills would also be an advantage
Your duties will consist of a wide range of clerical work including retrieval and preparation of patient case notes, filing, updating specific ward related documentation/audits, photocopying, sorting and distribution of post, answering telephone calls and being a first point of contact within the ward/unit.
Critical Care Directorate is a very busy and interesting area in which to work, taking medical and surgical emergencies, it provides staff excellent experience and learning opportunities.
Main duties of the job
To act as first contact to the units within Critical Care
To input data in a timely manner including admissions, transfers and discharges onto the Patient Administration System and Medicus In House system.
Manage the maintenance of HCR's ensuring they are all up to date and filed correctly.
Deliver high standards of customer care.
Answer all telephone calls and take action or messages accordingly.
Be a point of communication for all staff.
Receive new patients, direct visitors and provide information to and from medical staff, and patients daily.
Manage daily incoming and outgoing mail.
General filing as requested.
Follow Trust Policies and Procedures relevant to the Administration role.
Support and deliver the administrative processes of the Trust, Centre and Directorate, ensuring that the correct information and documentation is provided and entered onto the relevant IT systems in real time.
Support the transfer and the discharge process by ensuring that all the relevant documentation is correctly filed in the case notes.
