Job summary

The Gloucestershire children's therapy services are seeking an administrator to join our team supporting Children's physical therapies such as Speech and Language Therapy and Physiotherapy.

The services are looking for enthusiastic, flexible and supportive workers. The successful candidates will be a part of a busy and friendly team supporting therapy services and children and young people's access to these.

The team offers regular supervision and training will be provided in order to use the systems in place.

Main duties of the job

  • To provide effective administrative support to the Children's Therapy Teams.
  • To develop a thorough understanding of the service and processes used including referral and treatment pathways and links with other children's services.
  • Efficiently use System 1 and other databases to record and track the patient's treatment pathway including, clinic appointments and outcomes.
  • Efficiently use appropriate systems to collect, collate and report data and information in an accurate format (e.g. Microsoft Excel, Word, PowerPoint).
  • Responds to all colleagues in a positive, professional and helpful manner. Takes the 'wider view' at all times and builds good working relationships.
  • Communicate effectively with a wide range of people including colleagues and members of the public, ensuring at all times that a professional approach is presented.
  • To use own initiative in prioritising workload to ensure deadlines are met. When appropriate, to propose changes to working practices to maximise efficient/effectiveness of role.
  • To adopt a flexible and supportive role within the administration team by assisting with workload in the absence of colleagues to maintain a robust and quality service.
  • Carrying out general administrative tasks for the department to agreed standards and timescales, e.g. photocopying, sending out correspondence and documents, etc.

Actively support team meetings, taking notes that are accurate, well written and presented, and effectively distributed in a timely manner.

Actively participating in team meetings and discussions with colleagues and manager to make constructive suggestions as to how services could be improved within own work area, and implementing such changes with guidance from line manager

Responds to all colleagues in a positive, professional and helpful manner. Takes the wider view at all times and builds good working relationships.

Communicate effectively with a wide range of people including colleagues and members of the public, ensuring at all times that a professional approach is presented.
