Job summary

This role is offered on a permanent basis. The hours are part-time, 30 hours per week.

An exciting opportunity has arisen to join the Community Neurology Service, which is a countywide team created to serve patients across the region with neurological conditions via a multi-disciplinary approach. You will be a key member of the team, providing patient facing support and communication as well as supporting the clinicians in their roles.

We are looking for a reliable, well organised and highly motivated individual to provide a comprehensive administration service within the Community Neurology Service of Gloucestershire Health and Care NHS Foundation Trust. It is important that the successful applicant is able to adapt to change and has an excellent telephone manner.

Excellent communication skills are essential as is the ability to liaise with senior managers, clinical team members and people at all levels. The successful applicant should have robust computer skills and have the ability to learn new skills and processes. An ability to handle sensitive and confidential information in a professional manner at all times will be necessary. You will also be able to work on your own initiative, prioritise effectively and as part of a team with a positive and solution-focused attitude.

This role is the glue that holds the team together, taking referrals, handling incoming queries and booking appointments for clinic, home and remote locations.

Main duties of the job

This role involves working as part of a multi-disciplinary team supporting the effective administration of the community neurology pathway through the service from referral to discharge.

The post holder will need to understand the referral to discharge pathway and take appropriate actions where pathways are incomplete to ensure that service users receive the treatment and interventions necessary through supporting the administrative processes of referrals, triage and discharges.

Project the Trust values by demonstrating excellent customer care and professionalism in all activities, when dealing with queries, concerns and questions from relatives, service users and colleagues from other organisations and services.

The post holder will adopt a constantly flexible team working approach to ensure that all individual and team objectives are completed efficiently and within given timescales. Communicating clearly around deadlines, raising issues as they arise and work in an open, solution-oriented team.

The postholder will be able to plan and have responsibility for own work by developing an understanding the flow of work/priorities through the service as well as supporting the clinical team with any tasks they might request.

This role is based at Edward Jenner Court and it is essential to be able to work from the base.

The post holder will process all referrals that come into the service and record relevant data towards the service metrics using SystmOne and other tools. Referrals come into the service by email and post, so familiarity with scanning and uploading documents is essential.

The post holder will regularly communicate with patients via telephone, answering queries, arranging and cancelling appointments and signposting on to relevant services where necessary. They will also manage the answerphone taking messages, appropriately recording them and passing them on to the appropriate member of the team.

The post holder will be responsible for booking all initial contacts upto 6 weeks in advance for all members of the team and complete all related processes related to this task.

The post holder will be responsible for monitoring stock, requesting and ordering stationary and therapy equipment as needed.

The post holder will attend all meetings as required to take and distribute minutes from those meetings, keeping the action log up to date and creating agendas and other documents to support team meetings and away days.
