Job summary

Sexual Health Services provides sexual health care to people across the county of Gloucestershire. The service covers contraception, sexual health screening and treatment, pregnancy advisory, sexual assault and HIV care treatment.

The purpose of this job is to act as the main receptionist/telephonist for patients contacting the service either face to face or via the single point of access telephone line. This will include booking appointments and dealing with patient queries.

To provide administrative support and reception cover for Sexual Health clinics in Cheltenham, Gloucester and outlying clinics.

To provide a high quality of service to patients with particular concern for the confidential nature of the service.

To work closely with other grades of staff to ensure a smooth-running and flexible service

Main duties of the job

To act as the main telephonist for patients contacting the service via the single point of access telephone line.

This will include booking appointments and dealing with patients queries.

Provide and assist with the development of an efficient and friendly reception service within Sexual Health Services, including outlying clinics.

Answering telephone calls promptly and politely and receiving patients and visitors in a friendly and professional manner.

Provide non-clinical advice and information on outpatient procedures, appointments and clinic arrangements. Book patient appointments to suit individual needs, making the most effective use of clinic time.

Communicate clearly, often over the telephone, with members of the public where there may be barriers to understanding.

Prepare patient files for clinics every day, accurate filing of results, contact appropriate departments if required. Ensure relevant forms and paperwork are available for the doctor/nurse when required.

Competent use of clinic computer data collection systems, to include cancelling and rearranging appointments, checking and altering patient details as required. Registration of new patients.

Responsible for ensuring adequate stocks of stationery and clinical equipment, ordering as required. Check and receipt goods received.

To work alone on occasions, including unsocial hours at outlying clinics, taking sole responsibility for reception, using own initiative and working within Department guidelines.

To assist with induction and training of new members of staff.

To work constructively with reception colleagues and other staff members to ensure cover during periods of absence.

To liaise with medical and nursing colleagues to maintain the smooth and efficient running of the Department.

To work flexible working patterns to meet the needs of the Service to include: Clinic/base flexibility and days/hours worked i.e. no set day/hours

To promote a positive and helpful image for the Contraception and Sexual Health Service and the Gloucestershire Primary Care Trust.
