Job summary
This role is to provide full confidential administrative and secretarial support to the Health Visiting Management Team and Specialist Health Visitors. There will be responsibility for coordinating the oversight of multiple time sensitive workstreams, which support service development, in-line with locally commissioned strategies and government initiatives. This will require a high level of planning, negotiating, analytical and communication skills.
This post holder will be responsible for the supervision of other members of the administrative team, within the Health Visiting Service.
Main duties of the job
To work to ensure the flow of communication between Heads of Service, Team Leaders and Specialist Health Visitors is seamless.
The post-holder will need to be proficient with Microsoft excel, word and GHC platforms, to effectively manage and utilise data. Additional training can be provided to progress use at an advanced level.
- To manage own time and work load effectively, working flexibly and travelling to other community sites, as required.
- Run and coordinate the delivery of monthly reports (or more frequently if required), including NICE guideline tracker, Standard Operating Procedures (SOP's), guidelines and policies as necessary, for governance and Directorate monitoring. The format must be consistent with the project methodology, reflective of the needs, size, pace of development and political sensitivities of each element.
- To use the relevant IT systems to coordinate, document and plan service delivery and development.
- To support the Team Leaders in the development and maintenance of staffing rotas, including annual leave requests and compliance.
- Organise and facilitate meetings / training events etc, through the creation and distribution of agendas and papers, including minute-taking.
- Contribute ideas and solutions to improving the effectiveness and presentation of the Health Visiting Service
