Job summary
The post holder will provide a full and comprehensive administrative service to the SUN/PICT Services. You will provide a welcoming and approachable first point of contact to people who access the SUN service and to professionals accessing the PICT service. To work autonomously using your own initiative to manage the demands of providing admin support across two related teams. Prioritising and organising day to day workload whilst maintaining confidentiality of information throughout the full range of duties involved.
Suitable for someone who is able to work independently, co-ordinate multiple demands effectively and use initiative to address issues as they arise and provide support to two teams in the personality disorder pathway. Suitable for someone who is patient and compassionate to others' difficulties and is able to communicate clearly on the phone and in writing and interested in being part of services committed to improving the lives of those living with difficulties associated with personality disorder.
This role is a hybrid position with element of remote and Leatherhead HQ (Tuesday and Thursday) and 3 days remotely.
To maintain the integrity and confidentiality of the administrative function within the SUN service, please note that we are not able to accept applications from individuals who are either current members of the group or have been members within the last 6 months.
Main duties of the job
- Co-ordination of file and record systems to ensure information is held securely and easily accessible by appropriate team members.
- Receive and process referrals to the relevant service and system(s)
- Answer telephone calls and relay any messages in a timely manner
- Attend team meetings, type up an agenda and take and transcribe a wide range of meeting minutes in an accurate and timely manner
- Responsible for sourcing, booking and arranging payment via Trust invoicing system for face to face venue hire.
- Monitor and raise purchase requisitions for stationery, services (such as interpreters) and supplies for the department
- Support the team to create bespoke documents for the services, such as leaflets etc.
- Arrange team events, as required
- Monitor data quality of administrative input
- To show an interest in the clinical delivery of the services and attend meetings that provide support to staff, reflective practice for example.
- Troubleshooting problems using initiative, and escalating relevant matters to the service manager.
