Paediatric Facilities Assistant

Job summary

The Paediatric Department at Ashford and St. Peter's Hospital are looking for an organised, focused, enthusiastic Facilities Assistant to work as part of our team. The Facility Assistant will work closely with the multi-professional team including the Estates and Facilities Division to ensure that the ward is clean, safe and comfortable.

The Paediatric team care for patients aged from Birth up to 18 years in a variety of settings and the Facilities Assistant is a vital part of our team whose main responsibilities include monitoring stock levels, ensuring the medical equipment is serviced in line with the Trust Policies and Guidelines, monitoring the maintenance of the units and supporting our domestic team.

Main duties of the job

Post Summary

To be responsible for the co-ordination of services provided by Estates and Facilities Division in each of the Paediatric units and ensuring a clean, safe and comfortable environment. The main elements in this area of the role are to ensure the delivery and co-ordination, in accordance with the Trust's policy and ward requirements, of the following services:-

Stock Monitoring and Ordering

Domestics and Linen

Maintenance

Medical Devices

The post is designed to help maintain high standard of care by being part of a Paediatric team providing a safe and suitable environment for children and young people and their families/carers

Required to work closely with contractors and support service departments. He/she will monitor quality standards, report deficiencies and take appropriate action.

The Facility Assistant must be computer literate.

2. MAIN DUTIES AND RESPONSIBILITIES OF THE POST:

Communication & Working Relationships:

Daily communications with Ward Manager/Nurse in Charge

Regular communications with Estates, Facilities departments, Domestic department and Medical devices team.

General responsibilities

monitor levels of stock and non-stock supplies

Order stock and non-stock supplies on Oracle ensuring ordering is done allowing for delivery

Liaise with ward manager regarding changes or new supplies/suppliers

Keep accurate records of orders and tracking for 2 years

Chase outstanding orders

Unpack and store supplies

Ensure store/medical devices room is orderly and makes efficient use of space

Ensure medical devices are fully serviced, audited and clean at all times

Deal with supply enquiries /liaise with supplies department

Resolve delivery /supply issues

Maintain good link with procurement to ensure resources are used efficiently

Be point of contact for all medical devices on the unit

Maintain accurate asset Register of medical devices

Ensure medical devices are serviced and maintained accordingly on an account basis

Be a point of contact for company reps and medical devices agents

Maintain a good link with EBME department in order to ensure smooth and efficient return/repair of suitable devices.

To support the department and organisation by carrying out any other duties that reasonably fit within the broad scope of a job of this grade and type of work.

Paediatric Specific

Monitor and maintain daily stock levels of the treatment and drug room.

Daily checklist checked and signed.

Ensure overall responsibility of the parents accommodation ensuring:-

Bed is changed and made up daily

Kitchens are clean and tidy and stock with clean drinking cups and cups with lids.

Fresh milk available daily, as well as supplies of tea and coffee.

Fridges cleaned and old food disposed of, label present for food labelling.

Microwave clean and fir for purpose.

Sluice clean and tidy and linen skip is emptied.

Commode cleaned and labelled.

Lost property bagged and labelled and placed in store room.

Ensure adequate supply of culture jugs and cups.

Ensure store and milk kitchen supplies are fully stocked and stock rotated.

Ensure adequate of top up at all times e.g. pathology and stores.

Ensure linen cupboard kept tidy, floor clean, all polythene removed and linen available.

Maintain and update parents information board and staff photo board.

Answer security buzzer on occasion.

Answer telephone as required.

To maintain the process of medical records after discharge in absence of ward clerk.

Assist nurse in charge with maintaining ward environment around infection control audit requirements.

Maintain Mattress audit.
