Main duties of the job

Centralised Recruitment:

We have adopted a centralised hiring process for administration roles in bands 2-3 and 4-5. This means you apply once and are considered for multiple positions within our organisation, saving time for both candidates and managers while accessing a broader talent pool.

This week are currently recruiting for the following Band 3 roles across the organisation:

  • Radiology Appointments Clerk - 22.5 hours per week, Permanent Contract, Location - Churchill Hospital

Job responsibilities

Our Radiology Appointment staff are the first point of contact for patients needing imaging investigations across Oxford University Hospitals NHS Foundation Trust. They are vital to ensure patients receive an excellent experience, one we would expect for our own family and friends.

This role offers variety and the opportunity to learn a wide range of skills that will equip you well as your career progresses.

We expect candidates to be motivated, hardworking and empathetic, with a positive and professional approach to providing excellent customer service.

Duties:

  1. Support patients by booking relevant diagnostic investigations and expediting, where appropriate, in line with the cancer and 6 week diagnostic DM01 pathways
  2. Ensure supporting information is available when appropriate and taking responsibility for actioning urgent items.
  3. Monitor urgent investigation requests to ensure they are processed appropriately.
  4. Work closely with all staff in the service to ensure compliance with 18 week referral to treatment (RTT) targets, 6 week diagnostic DM01 and 2 week cancer targets, escalating and intervening where necessary to expedite appointments and procedures to avoid breaches.
  5. Maintain an accurate and current filing system, ensuring any relevant information is recorded in the radiology computer system (CRIS).
  6. Follow the tracking procedure for the movement of all patient notes. If notes are required.
  7. Update patient details on CRIS / EPR and other Trust and departmental record systems.
  8. Ensure patients that have not attended or cancelled their appointments are highlighted and rebooked in a timely manner.
  9. Request and coordinate patient notes from other hospitals and organisations, where the pathway requires further information.
  10. Act upon queries from referrers, patients and other relevant parties in liaison with clinical staff. Take relevant action to provide reassurance and support to patients and their families by finding appropriate solutions to problems, which requires the ability to understand and explain basic medical procedures and terminology.
