We are seeking to appoint a SONeT Hub/Neonatal Unit Administratorto join our Neonatal team at The Children's Hospital.
We are seeking to appoint a proactive, motivated individual who enjoys working in a busy environment within our friendly team in Oxford. The post holder will provide an efficient and effective clinical administration service to the Southampton Oxford Neonatal Transport service, the department, consultants, nurses and wider clinical team. They will also attend to patients, colleagues and referrers to the service, promptly and courteously at all times and be a worthy front-line representative of our high quality service.
Main duties of the job
As a member of the ward team provide a high level of administrative support/assistance to SONeT (Southampton and Oxford Neonatal Transport Service).
Take responsibility for manning the SONeT (Southampton and Oxford neonatal transport service) telephone in an organised and professional manner.
Act as first point of call for all visitors, parents and multidisciplinary teams to the Newborn care unit.
Take responsibility for the updating of EPR in a timely manner, ensuring all admissions, discharges and movement around the Newborn Care unit is reflected correctly on the Trusts EPR system.
Manage telephone calls from parents and other multidisciplinary teams on a daily basis.

Responsibilities and duties include but not limited to:
Receive information from other hospitals, assess and determine appropriate action and redirect to the relevant medical team/department. Be proficient at arranging conference calls between multi-disciplinary teams in the Thames Valley and Wessex network. Contact all hospitals in the Thames Valley and Wessex Network to establish cot availability. Update the Contensis live dashboard in a timely manner. Contact all maternity units in the Thames Valley and Wessex network to establish maternity bed availability. Update Contensis live dashboard in a timely manner. Ensure the SONeT team availability status is updated twice daily. Ensure that all the necessary paperwork is produced accurately and efficiently for all transfers within the Network and cascade in a timely and accurate manner to the relevant transport teams.
Access the Contensis database and check for planned referral requests - raise the relevant paperwork and contact appropriate team in a timely manner. Receive calls from community midwives and health visitors to assess and book prolonged jaundice appointments. Seek medical advice if required. Receive calls from Parents and other outside agencies both within and outside of the Thames Valley network ensuring that all calls are dealt with efficiently. Ensure that all the necessary paperwork is produced accurately and efficiently for all new admissions onto the Newborn care unit. Ensure accurate data is entered onto EPR when a baby is admitted to the Newborn care unit. Monitor babies movement/treatments within the hospital. Enter the correct data onto EPR to ensure that each procedure is correctly paid to the right consultant/area/surgeon. Ensure that the units bed board is maintained and updated twice daily. Lead on receiving and welcoming parents and families of babies admitted to the Newborn care unit. Ensuring at all times that the needs of the parents/families are met in a professional compassionate manner. Update EPR with any changes in babies personal details. Ensure this information is cascaded to the blood transfusion department and any other relevant areas. Provide full clerical support to the nurses and doctors working on the busy Newborn care unit. Ability to obtain sufficient and relevant information from parents who are often distressed, confused, angry or upset and act on this information appropriately. Adhere to total confidentially at all times.
Manage on a daily basis telephone calls received to the SONeT hub telephone; directing/managing calls as required. Conduct daily ring around to establish cot availability throughout the Thames Valley and Wessex Network Ensure completion of all relevant documentation for planned and unplanned referrals Check Contensis on an hourly basis to check for referral requests. Answer telephone enquiries from medical staff, nursing staff and the general public some of whom are distressed and take the appropriate action. Ensure that all SONeT paperwork packs are made up completely and in an accurate, timely manner. Ensure completion of relevant documentation such as front sheets, sticky labels, wristbands required for new admissions to the unit. Tracking and obtaining notes from medical records in preparation for clinics or as requested by the medical team. Preparation of case note folders for new patients. Accurate information of patient details and ward admissions to be sent by post to GPs. Participate in the induction and training of new members of staff to the team. Complete statutory and mandatory training and participate in the Trust appraisal process. Attend team meetings as required. Participate as requested by the Service Manager in a rota to ensure adequate cover is maintained.
