Job summary

To provide professional administrative and secretarial support to allocated Management team. The post holder will also line manager a ward clerk overseeing their day-to-day duties, training and ongoing development.

Main duties of the job

The successful candidate will be expected to work closely with their allotted managers, they will support their managers with a comprehensive range of day to day admin tasks such as staff recruitment, assisting with ward projects, arranging and attending meetings, taking of minutes , organising staff training (both clinical and admin staff) This support allows the ward manger time to focus on clinical duties and patient flow through their wards.

The successful candidate will also line manage a team of ward clerks, they will oversee their day to day duties, ensure that there is sufficient admin cover on the wards each day, and the successful candidate will also be expected to oversee both the ward clerks training and development.

We currently have a team of six ward managers assistants who support ward managers for our short stay wards, hyper acute stroke , complex medicine wards and Ambulatory unit.

This is a busy role which lends itself to someone who is organised, enjoys working to tight deadlines and enjoys both working as part of a team but also happy and able to work autonomously.

As a Ward managers assistant you will have a broad overview of the day to day running of the Ambulatory team, what administrative support your ward manger requires and also oversee supervision, training and development of your allocated ward clerks.

The role of a ward manager's assistant is to provide professional comprehensive and confidential administrative support to their allocated ward manager, you will work closely with your ward manager, actively monitoring admin processes, you will manage the administrative process for the recruitment of new clinical and administrative staff who transfer to a new role and staff who leave the trust, arrange ward meetings/individual staff meetings, take minutes, oversee staff absences and the correct recording of staff absences on Healthroster, attend budget meetings and assist ward manager with ward projects.

You will undertake audits when required to ensure that processes and procedures are adhered to. You will also be responsible for staff appraisals, training and development of administrative staff within your designated team.
