Job summary

This is a 18 month fixed term / Secondment post.

An opportunity has arisen within the Dietetics Service for a full-time Band 2 Administrator, working across both our Royal Derby and Florence Nightingale Hospital sites.

We are looking for someone to join our Admin team 5 days per week in delivering an efficient and effective service to the Dietetic Teams at both sites.

You will have a background in administration, effective written and verbal communication skills and good attention to detail. Keyboard skills and experience of using Microsoft Office packages including Word is essential.

You will possess good organisational skills, be an enthusiastic and motivated team player with a willingness to learn.

Main duties of the job

  • To provide general administrative and clerical service including filing and retrieving patient records, word processing, photocopying and scanning.
  • To act as a point of contact for patients and staff on behalf of the dietetic team taking accurate messages and ensuring an appropriate response.
  • Typing, printing and despatch of clinical correspondence related to NHS patients within agreed timescales and quality standards.
  • To input the Dietetic staff patient contact data onto Lorenzo in an accurate and timely manner.
  • To process, log and distribute incoming mail on a daily basis.
  • To book meeting rooms as required.
  • To assist in maintaining the supply of stationery and office items for the Department.
  • To ensure that urgent correspondence is brought to the immediate attention of the relevant team member.
  • Liaise effectively with wards and departments within the hospital.
  • To escalate any urgent problems to a senior manager.
  • Provide secretarial support/cover for colleagues during absence.
  • Undertake necessary training as and when required by the Trust.
  • Prioritise own work schedule, to ensure an efficient and timely output within all areas of responsibility.
  • Awareness and understanding of sensitive information, ensuring strict confidentiality at all times
