Job summary

We are delighted to advertise for an initial 12-month fixed term role supporting workflow within our busy and dynamic dispensary at Gloucestershire Royal Hospital.

You will be working closely with the Dispensary Leadership team to ensure that the workflow of outpatient, inpatient and discharge prescriptions is managed in the most timely and efficient way possible.

You will also be an integral part of a multi-skilled Dispensary team, carrying out Final Accuracy Checking, again with appropriate training provided.

Main duties of the job

Co-ordinating, supervising and monitoring day to day operation of the Pharmacy Dispensary under guidance of the Dispensary Leadership team in the provision of a safe and effective Pharmacy service in line with current policies, procedures.

Monitor worklists in real time and ensure appropriate prioritisation.

Undertake dispensing of prescriptions in an accurate and timely manner and to use professional knowledge to ensure that such duties are performed in accordance with Good Dispensing Practice. To provide support, mentorship and training to Pharmacy Assistants and new starters in all processes and procedures associated with the dispensary service.

Final Accuracy Checking a variety of prescriptions as per SOPs.

When necessary, to undertake medicines optimisation duties on the Discharge Wards, improving the quality of care to patients in a clinical area by means of an efficient medicines optimisation system.

Dispensary

Under the supervision of the Senior Pharmacy Technician or nominated deputy

To assist in the provision of a safe and effective Dispensary service, under the supervision of the Dispensary Leadership team in line with current policies and procedures.

Undertake the dispensary team leader role to manage the dispensary workload by monitoring the prescription tracking system to ensure prescriptions are completed within allocated time

To direct staff to undertake the necessary tasks in order to manage the dispensary workload.

To review and amend the daily dispensary rotas as necessary in response to unpredictable workload demands, staff availability and skill mix

To encourage a high standard of work at all times

Assisting in quality assurance procedures ensuring that near miss errors are logged appropriately and that actual errors are reported and logged.

Final accuracy Check a variety of prescriptions types, Controlled Drugs, carrying out all tasks required to maintain Accuracy Checking Accreditation.

Dispensing for In-patients, out-patients and patients that are going home, according to standard operating procedures.

Handing out completed outpatient prescriptions to patients or representatives, according to SOPs, including providing straightforward advice on further supply and common dosages.

Dispensing controlled drugs according to standard operating procedures.

Assist the Dispensary Leadership team in HR processes where relevant

Conduct annual appraisals for small number of Pharmacy Assistants if required

Organising transport between sites for medication as appropriate

Maintain cleanliness and tidiness of the dispensary

Support training of staff as appropriate. Assist training and learning sessions for Pharmacy Assistants and students within the dispensary.

Participate in induction process for Dispensary personnel and review exit interviews

Monitor the standards of work being carried out by staff working in Dispensary

Assist in reviewing errors occurring within the department aiming to identify actions to reduce risk and learning.

Implement service and policy changes as directed by the Dispensary Leadership team.

Prioritise and organise daily workload to ensure that all required tasks are completed within allocated timescale

Contribute to audits

Escalate as appropriate to more senior staff

Medicines Optimisation & Discharge

Under the supervision of the Chief Pharmacy Technician or nominated deputy

Work with minimal supervision to provide a supply and discharge service to Discharge Wards

Operate the patients own drug scheme, assessing whether any medicines brought in by the patient are fit for use and removing (with patients permission) any medicines not needed

Assess availability of medicines and refer queries or unavailability to relevant supervising technician/pharmacist

Participate in one stop dispensing pharmacy service, including the education of nurses

Initiate & accurately supply medication labelled ready for discharge and medicines needed on an individual basis for patients

General

Ensure the standard operating procedures are adhered to and Health and Safety procedures followed. There is a responsibility for stock control and security of medicines within daily duties. Suggest changes to policy and processes dependant on own experience and in a QI capacity.

Ensuring rest breaks are taken promptly

Offering support and advice to staff in their day to day duties

Taking phone calls from staff if they are unable to come into work, liaising with Dispensary Leadership team if further support is required to manage an issue. Shares advice & knowledge to train new assistants on the standard operating procedures within the working area.

Participate in internal audits and surveys of service delivery as required.

Provide weekend and Bank Holiday cover as per rota, and be on the late night rota.

Comply with the code of behaviours & values that the trust and department expects.

Administrative tasks as delegated by the Dispensary Leadership team.
