Job summary

An exciting opportunity has arisen to become part of the Vascular Laboratory at the Gloucestershire Hospitals NHS Foundation Trust.We are looking for a 0.52WTE (19.5hrs) Band 4 Specialist Vascular Laboratories Secretary to join our administrative team here in the Vascular Laboratory to help support the service.

Reporting to the Lead Specialist Vascular Laboratories Secretary, you will be helping to lead our busy administrative team efficiently coordinating and overseeing all administrative aspects required for a smooth running of the department across sites at Gloucester Royal and Cheltenham General hospitals. You will be expected to manage you own workload. You will also be responsible for booking various patient appointments, maintain and use hospital systems, monitor waiting lists, database entry, liaise with health professionals, deal efficiently and professionally to the requests of all service users and patient enquiries and provide a functional flexibility to meet the demands of the service.

Main duties of the job

To work as an independent Specialist Vascular Administrator/Coordinator providing an efficient and professional service taking responsibility for all administrative aspects on a daily basis, coordinating and supervising administrative team, organising patient appointments, dealing with referrals and other business- related enquiries ensuring that a high-quality service is provided at all times.

Job responsibilities

Key responsibilities:

To provide an efficient, professional service to the speciality teams including consistently accurate typing/recording/archiving of all patient related correspondence and administration of the vascular laboratories;

Organise and book patient appointments through complex diaries and patient management systems as well as any other related patient requirements (porters, interpreters etc.)

Ensure that patients that are in the department are recorded correctly and undergo their examinations promptly, checking their welfare is maintained whilst in the waiting areas;

Provide excellent interpersonal communication skills, both written and verbal, for dealing with patients, families, clinical and non-clinical staff, (internal and external to the organisation), trainees and companies or department visitors;

Prioritising your own work identifying when urgent action may be required taking into account the nature of the various examinations and staff availability for different clinics;

Demonstrate administrative systems to all staff and provide instruction or guidance when required;

The post holder has minor budgetary responsibilities including for stationery orders and other procurement;

  • AMSPAR medical terminology qualification.
  • Managing / mentoring qualification.

Experience

  • Experience of direct contact/liaison with patients/carers/general public & health professionals.

Desirable

  • Good experience in working with TrakCare, CRIS, PACS and P2P systems.
  • Substantial years' experience in similar role.

  • Ability to work autonomously and collaboratively.
