Job summary

In recent years our pharmacy department and the wider trust has made significant strides forward in updating our digital technologies to meet the needs of a modern health service. Installation of state of the art BD pharmacy robots, a new Pharmacy Stock Control (PSC) system - Emis Hospital Pharmacy - and a modern ePMA system - Sunrise Clinical Manager. Well maintained and managed digital pharmacy systems are critical to the smooth running of pharmacy services.

As a Pharmacy Technician / Pharmacy Systems Manager, you will provide day to day support to manage and maintain digital pharmacy systems for 50% (18.75 hours) of your working week. For the remaining 50% (18.75 hours) you will work with the pharmacy team in the delivery of pharmacy services, including Dispensary Services, Medicines Optimisation and Accuracy Checking. This is a split role managed by both the Digital and Pharmacy teams.

Main duties of the job

- To be one of the Pharmacy Systems Managers for the Pharmacy Department covering all sites; ensuring that the pharmacy system is up to date and functioning correctly, with support from the Pharmacy Digital Team and the Pharmacy Systems Team Leader.

- To work with the other Pharmacy Systems Managers in completion of all routine 'business as usual' activities on a schedule as defined by the Pharmacy Systems Team Leader. To include but not limited to the running of routine system calculations, running housekeeping reports and resolving issues found on said reports.

- To manage the pharmacy drugs catalogue in accordance with the defined change control process; making amendments, removals and additions where required. Including the validation of drug data supplied on request forms utilising appropriate reference sources, e.g., BNF, SPCs, NHS England Pharmacy Catalogue, Dictionary of Medicines and Devices (DM&D).

- To work with the other Pharmacy Systems Managers to process and resolve queries and issues logged with the Pharmacy Digital Team.

- To be a point of contact for other stakeholder teams/ departments/ organisations. Including but not limited to EPR, CITs, Business Intelligence, Finance, The Patient Systems Team (Trak) and Emis Health.

- To deliver training on the use of the Pharmacy Stock Control system.

- To participate in current and future digital pharmacy development projects.

Pharmacy Stock Control (PSC) system manager

Under the supervision of the Pharmacy Systems Team Lead you will work as a EMIS Pharmacy System Manager. Working with other System Manager(s) within the department to complete all duties and responsibilities; this includes the following responsibilities:

- Managing the set up and maintenance of system users and access ensuring integrity, accuracy and security is maintained

- Managing the system configuration for all aspects of the PSC such as

Label design, printing and settings

Locations, consultant and specialty system tables

Operational Report layouts and printing.

Ensuring templates are updated

Creating order-set templates if required.

Sorting drug file issues and requests to DSS for non-readily available drugs

Ensuring Terminals are setup as required.

- Managing the pharmacy drugs catalogue in accordance with the defined change control process; making amendments, removals and additions where necessary.

- Working closely with the EPR team ensuring adherence to robust change control systems to maintain links between the ePMA system and EMIS.

- To provide support around linking the ePMA system to the PSC system used throughout GHT Pharmacy.

- Provide support and guidance for pharmacy staff on the best use of the system.

- Running routine pharmacy system calculations and housekeeping processes/reports.

- Routine testing of the Emis Stand Alone machines to ensure reliable functionality in the even of a Business Continuity Incident.

- Ensure appropriate training is given to new staff.

- Implementation and testing of system updates and enhancements.

- Ensure system interfaces are operational e.g., Robot interface, PAS interface and ePMA interface and trouble shooting any problems with them.

- Resolving issues and queries logged with the Pharmacy Systems team.

- Ensuring reporting requests are facilitated.

- Liaising with Business intelligence (BI) around system mapping and updating.

- Writing/updating SOPs and Quick Reference Guides for digital systems.

Medicines Optimisation & Discharge

Under the supervision of the Chief Pharmacy Technician or nominated deputy

- Work with minimal supervision to provide an admission, supply and discharge service to nominated wards. Liaising directly with pharmacists, doctors and nursing staff over clinical issues as appropriate.

- On admission, checking that the medicines prescribed for each patient conform with information from the patient, SCR, GP letter and/or Nursing Home, carrying out medicines reconciliation for individual patients

- Operate the patients own drug scheme at all levels, assessing whether any medicines brought in by the patient are fit for use and removing (with patients permission) any medicines not needed

- Participate and develop a one stop dispensing pharmacy service, ward based including the education of training of nurses and ward staff in the systems operated.

- Initiate & accurately supply medication labelled ready for discharge and medicines needed on an individual basis for patients on the ward

- Counsel patients to use their medication and providing written information as required

- Prioritising and organising daily workload to ensure that all required tasks are completed within allocated timescale

- Aid discharge planning in conjunction with ward pharmacist and ward staff.

- Liaise with GP surgeries, Community Pharmacies, Patients and Carers to ensure that continuing supply of medicines are provided in compliance aids at discharge

- Check transcriptions of discharge prescriptions and check medications before bagging up for discharge involving checking the accuracy of the take home prescription against the drug chart and locker contents.

- The post holder will be responsible for the general medicinal housekeeping of the wards, e.g.: 3 monthly CD balance checks (stock & patients own), returning unwanted medicines into stock, keeping control of general ward stock levels, and the cost effective use of medicines

- Participate in the audit of the medicines management service through quality standards and robust auditing methods and to maintain such documentation and records of work as may be required

- Share best practise, seeking out new developments, informing other staff and implementing new practises where appropriate.

- Participate in the supervision, training and/or mentoring of student technicians, new or existing technicians, pre-registration pharmacists and junior pharmacists concerning the medicines management role on the wards

- Provide a pharmacy service to local community hospitals where appropriate

Dispensary

Under the supervision of the Senior Pharmacy Technician or nominated deputy

- Final accuracy check prescriptions, orders and Controlled Drugs carrying out all tasks required to maintain checking technician status.

- To ensure the ward based one stop service and the dispensary develop and grow together and to contribute to policies as such.

- Accurately dispense prescriptions for patients (inpatients, outpatients or discharge), liaising with medical & nursing staff where clarification is required and also when there are drug supply problems

- Accurately dispense controlled drug orders for wards & departments, and patients, making register entries, checking stock balances and reporting discrepancies that cannot be resolved to the Senior Pharmacy Technician

- To receive prescriptions and fees from the general public at the hatch and process the payment

- To answer the staff hatch to other hospital staff, dealing with their requests.

- To answer the telephone if required, dealing with queries regarding work in progress, dealing with the enquiry to the callers satisfaction or passing the call on to the most relevant person.

- Use the prescription tracking system to book in and track prescriptions at each stage in the process

- Participate in the supervision, training and/or mentoring of student technicians, new or existing technicians, pre registration pharmacists & junior pharmacist concerning the technician checking role or other dispensary roles & duties

General

- Ensure the standard operating procedures are adhered to and Health and Safety procedures followed. There is a responsibility for stock control and security of medicines within daily duties.
